When setting up your plan templates in PSOhub, you can define Start Date, Duration and Due Date for tasks. These fields will automatically populate when the template is applied to a project, quote or plan. PSOhub will calculate these dates relative to the Target Start Date of the project, ensuring that the schedule aligns perfectly with your project's timeline.
Set up your Plan Template with Durations
Once you've set the structure of your plan template with tasklists and tasks (Refer to Create Plan Templates and Create Tasks and Checklist Items), you will be ready to set up the duration of your tasks in your plan template.
How to Determine the Correct Dates
When setting up your plan template it’s important to consider that all task dates will be applied relative to the Target Start Date of the project, plan or quote:
You will set this when first creating your project, quote or plan. This can be changed at any time.
Aligning the first task with the Target Start Date
If you want the first task to coincide with the Target Start Date, set its Start Date to Day 1 in the template (which is January 1st of the current year).
Example: A task should start on the project's Target Start Date
Project Target Start Date: February, 20 2025
Task Start Date in Template: January, 01 2025
When applied, the task will be scheduled for February, 20 2025.
Scheduling Tasks after the Target Start Date
If a task should start after the Target Start Date, set its Start Date relative to Day 1 in the template.
Example: A task should begin 4 days after the Target Start Date
Project Target Start Date: February 20, 2025
Task Start Date in Template: January 04, 2025
When applied, the task will be scheduled for February 24, 2025
Set up Start Date and Duration in a Plan Template
Here's how to define each of the date fields for your tasks:
Field | Description |
Start Date | This determines when the task will begin on the project, quote or plan. PSOhub will set this relative to the Target Start Date. |
Duration | This specifics in number of days how long the task will take, from the Start Date to the Due Date. Note: If Due Date is set first, PSOhub will calculate this automatically. |
Due Date | This determines when the task will likely conclude on the project. PSOhub will set this relative to the Start Date based on the Duration set. |
Once you’re in List View, click into any of these fields to set them for individual tasks.
From there, you will want to triage your tasks by setting dates and durations for each relative to the first task:
You will notice that as you enter dates and durations, the Effort column will be automatically calculated based on the Duration set for each task. The number calculated will be based on a typical 8-hour working day. For example, a Duration of 2 days will result in an Effort of 16 hours. You can overwrite that number by typing a value directly in the Effort field.
Note: if you had defined your task's effort before setting up the start/due dates, you will notice that the effort will not change. This behavior will also occur at the quote/project/plan level as a shorter or longer duration doesn't necessarily translate in a change of effort.
Apply Your Plan Template to a Project
When creating a new project, you’ll be prompted to select a Contract Template in the Setup Contract step of the Project Quick Setup window. If your contract template is linked to a plan template, you can easily apply it at this stage.
To apply your template during project creation:
On the Setup contract step, select the contract template linked to your plan template.
Once selected, the Plan Template dropdown will appear—choose the relevant plan template.
Set the Target Start Date for the project.
To apply a plan template to an existing project:
Open the project.
Navigate to the Tasks tab.
Click on Template.
Select your plan template from the dropdown.
The Target Start Date field will appear, allowing you to define the start date for task scheduling.
In both cases, all tasks will be scheduled based on the Target Start Date, maintaining the structure and dependencies set in your plan template.
Apply Your Plan Template to a Plan
To apply a plan template to a new plan:
When creating the plan, choose your plan template from the Base on plan template field
Set the Target Start Date for tasks using the Start field
To apply a plan template to an existing plan:
Open the plan
Click on the ellipsis (...) button and select Import Template
Select the plan template you’d like to apply
In both cases, all tasks will be scheduled based on the Start Date of the plan, maintaining the structure and dependencies set in your plan template.
Apply Your Plan Template to a Quote
To apply a plan template to a new quote:
On the Setup contract step, select the contract template linked to your plan template.
Once selected, the Plan Template dropdown will appear—choose the relevant plan template.
Set the Target Start Date for the quote
To apply a plan template to an existing quote:
Open the quote.
Navigate to the Tasks tab.
Click on Template.
Select your plan template from the dropdown.
The Target Start Date field will appear, allowing you to define the start date for task scheduling.
Once applied, all tasks will be scheduled relative to the Start Date of the quote, maintaining the structure and dependencies set in the plan template.
If the quote is later converted into a project, PSOhub will automatically shift the task dates based on the Target Start Date of the project.
Applying multiple templates
When a plan template is first applied to a project, plan or quote, the Target Start Date field can be set. This will determine how PSOhub triages the dates of each task on the plan template.
If a plan template already exists on a project, plan or quote, the Target Start Date will no longer be accessible. This is only available to be set when applying the first plan template. The additional plan template will automatically inherit the same start date as the first plan.
