What is a Contract Template?

Contracts in PSOhub will also serve as the structure for booking time and expenses as well as performing invoicing. And templates are simply pre-defined contract structures that you can leverage when creating a project. They consist of groups and contract lines.

You will find them under Contract Templates once you've clicked the Gear icon.

Out of the box PSOhub offers a list of standard contract templates to choose from and modify according to your own organization. But you can also create one from a "blank slate" by clicking Create Template.

How to modify or delete a template.

A single click on the template you wish to modify (in the list of templates located on the left hand side menu) will open it up in the right hand section of the page.

The down arrow located next to the name of the template will allow you to edit its name or delete the whole template. 

Note: The template name must not contain the apostrophe character (').

You can also modify the groups and contract lines displayed or add new ones by clicking on Add new line. 

Modify a contract line in a template.

To modify a contract line, simply click on the line. Using the down arrow, you can change the Group or the Line ID as well as overwrite or modify the name (description) of the line. 
Note: The contract line name must not contain the apostrophe character (') or the quote character (").

You can also change the contract type by selecting another one. 

At the template level you can pre-define values that will be carried over to the project when you select the template. This is not mandatory however and the related fields can be left blank. 

  • If the contract line is a T&M you can already specify a default budget amount which can be overwritten at the project level. 

  • If the contract line is a Fixed Fee you can already specify a default Amount (e.g. contract line related to training is always the same fee) as well as a default budget. Both fields can be overwritten at the project level. Note that whenever you enter a value in the Amount field of a Fixed Fee, it is automatically copied over the budget field. 

  • Finally if the contract line is an Expense you can also specify a budget amount at the Template level. 

Once you are done with the modification, simply click Save.


Delete a contract line in a template.

Click the line you wish to delete. Once in the contract line simply hit Delete.
PSOhub will ask that you confirm the deletion of the line. To do so, click Proceed.

Add a contract line 

In order to add a contract line, click Add new line.

In the New line item screen, select a group. PSOhub will automatically display the next available Line ID. You can change it by clicking on the drop down arrow. 

Now give a name to your contract line and validate that the Group and Line Id are correct. Then select a Type and, if you want to, define the Amount and/or Budget fields.

Note: The contract line name must not contain the apostrophe character (') or the quote character (").

Once you are done with the modification, simply click Save.

Modify a contract group 

You can also modify a contract group. To do so, click Add line.

In the next screen, click Groups. 

Here you can add a new group or, using the drop down arrow, change the sequence number of the group. You can also change the description of the group as well as delete a group (but only if no contract lines are linked to the group.). 

Note: The contract group name must not contain the apostrophe character (').

Once you are done, simply click Close and your modifications will automatically be saved.
