Project settings will allow you to:
Create, modify or delete project stages, project types and contract group numbers
Define the naming convention of your projects
Create, modify or delete stakeholder roles
Create, modify or delete Kanban lanes.
To access the Project Settings click the Gear icon on the menu bar.
In the left hand side menu, navigate to Module Settings and Project Settings.
Project Settings menu
Once you have opened the Project Settings menu, you'll have access to different things to configure:
Project stages
The project stages appear by default under the Project Settings module. For PSOhub there are 4 default stages: Proposal, Active, Closed and Archived. While the default stages cannot be changed, you can still rename these stages to suit your own naming conventions.
Here you can also select the default project stage under the Default for new projects column. All new projects will default to the selected project stage upon creation.
To create new project stages, click on Add stage.
From there you can name the new project stage and allocate it to one of the default PSOhub stages.
Optionally, you can add a custom description to the project stage, so that other users can understand the purpose of the project stage.
Stages can be repositioned using the click-to-drag function. Simply click and hold on the project stage to activate the drag function. You can then reposition the project stage where appropriate. To drop the project stage and deactivate the drag function, click again.
Plan stages
Like project stages, you can configure the stages of a plan, by accessing the Plan stages tab. The default stages are Active and Closed. This affects whether or not assigned tasks appear in the My Tasks or All Tasks views for Team Members.
As with project stages, changes cannot be made to the default plan stages. However, these can also be renamed to meet your own naming conventions if required.
To create new plan stages, click on Add stage.
From there you can name the new plan stage and allocate it to one of the default PSOhub stages.
Optionally, you can add a custom description to the plan stage, so that other users can understand the purpose of the project stage.
Stages can be repositioned using the click-to-drag function. Simply click and hold on the project stage to activate the drag function. You can then reposition the plan stage where appropriate. To drop the project stage and deactivate the drag function, click again.
Project types
In the bottom section of the screen you will find project types. The purpose of a project type is to allow you to categorize further your project and filter on this parameter.
Out of the box PSOhub delivers a list of project types.
If you want to modify or delete one, simply click on the type, make the modification and click Save or Delete to delete it.
You can also (of course!) create your own by clicking Create type.
Once you are done, simply click Save.
Project numbers
In this section the naming convention of your project numbers can be customized. It is composed of 3 elements:
Prefix: You can overwrite the default prefix displayed here.
Year: This field will increment automatically every year and can not be overwritten.
Follow number: You can leave the default starting number or change it (e.g. change for the thousands so that your first project starts at 1001).
Note: Each element will be automatically separated by a hyphen i.e. PRO-2020-0001.
Once you are finished with validating the naming convention of your project numbers, click the Save button in the right upper corner of the page to save any changes you might have made.
Note: If you prefer to adopt your own project number rather than using the PSOhub standard, then directly in the project, under the project properties, click the Edit button and manually modify the project number:
Contract group numbers
The standard contract group numbers are: 10,20,30,40,50,60,70,80,90 and 100.
If you need additional contract groups numbers, simply click on the Add number button. From here you can create your additional group number(s).
Important: Do NOT overwrite the existing numbers; only create new ones.
Once you are done, click Save. Your new number will now appear in the list and you will also see it in the drop-down menu of contract groups.
Stakeholder roles
In addition to project contacts from the customer, stakeholders can also be added to a project for invoicing purposes. These stakeholders may be from other companies related to the customer project. E.g suppliers or partners.
Here, in the Stakeholder role settings you can define the roles, by clicking the Add role button. E.g. Budget holder, Decision Maker, Influencer, Sponsor, Legal, or Champion.
When the roles have been defined, you can import contacts in the Stakeholder tab of your your project and select their stakeholder role. In the project, you can select whether your stakeholder is the primary contact to receive invoice or to be in cc or bcc.
Kanban lanes
If you are going to leverage the Kanban board for your tasks, you can edit the default lane names (To do; Work in progress and Done), create additional lanes or delete lanes.
To create new lanes, click the Add lane button.
The Order of the lanes are sequential. In the Name field, enter the name for the new lane. The Change status to field is optional where you can define the status of task when you change lane. For example, if a task requires a Review and it's completed, the task can be dragged to the Done lane and the task status is marked as Completed.
Note: Best practice for numbering the lanes is to group them in 10s, so that other lanes can be added in between, should it be needed.
