The Timesheet Calendar in PSOhub has self-driving and self-learning functionalities. You will find it under Time & Expenses.

Retrieval of Outlook or Google calendar

When you connect your timesheet calendar with Outlook or Google calendar, PSOhub will bring over all your appointments for the current week.

It will also update your timesheet on a daily basis during that week to capture any modifications you may have.

Self-driving and self-learning timesheet

When PSOhub retrieves your appointments it will try to match them to existing projects based on the description of the appointment, the project name, the customer and the location.

In addition to this, and because of its self-learning mechanism, it will also leverage the assignments to projects and adjustments you make on time entries, to automate the process of booking your time towards the right project information without any action being required on your part.

Note: Appointments marked as Private or marked as All Day in your Outlook or Google calendar will be excluded from the retrieval to the Timesheet Calendar.

Colors of the time entries

  • Grey: PSOhub has retrieved your calendar (Outlook or Google) and is not able to find a match to any project. You need to assign the time entry to a project; until then, the hour(s) will not be taken into consideration in the calculation of the "hours per week".

  • Light green: PSOhub has retrieved your calendar (Outlook or Google) and has assigned the time entry to a project as a possible match. You will need to confirm the assignment of the time entry to this project; until then the hour(s) will not show in the project and will not be taken into consideration in the calculation of the "hours per week".

  • Medium green: PSOhub has retrieved your calendar (Outlook or Google) and has matched the time entry to a project as a 100% match. This is also the color of a time entry that you create manually. You do not need to confirm anything, both the project and the calculation of "hours per week" have been updated with the time entry.

  • Dark green: The time entry is assigned to an internal project and confirmed.

  • Light yellow: The time entry is assigned to the time classification Holiday and confirmed.

  • Light orange: The time entry is assigned to the time classification Absence and confirmed.

  • Dark orange: The time entry has been invoiced and can't be changed.

How to assign a project to a time entry (color is grey)

  • To assign a time entry to a project, single click the entry; PSOhub will open it up and display the following fields.

  • Date & time: If you click the down arrow, PSOhub will display the date, start and end time of the time entry when it was an appointment in your calendar (Outlook or Google). You can change this information if you need to; it will not be reflected back to your calendar (Outlook or Google).

  • Number of hours: Will display the number of hours of this time entry when it was an appointment in your calendar (Outlook or Google). You can change this information if you need to; it will not be reflected back to your calendar (Outlook or Google).

  • Time classification: You will select here the time classification for this time entry. Note that if this time entry relates to internal time, you will need to choose Internal in order for PSOhub to display an internal project.

If you select Project you will need to complete the following fields:

  • Customer: use the down arrow to select the customer of the project related to this time entry.

  • Project: once you have selected a customer, PSOhub will display the list of all active projects related to this customer.

  • Line ID: By default, PSOhub will display the first active contract line. You can change it via the down arrow.

  • Role: PSOhub will display the first role (in alphabetical order) it will find that is assigned to you. You can change it via the down arrow.

  • Description: Will display the title of this time entry when it was an appointment in your calendar (Outlook or Google). You can change this information if you need to; it will not be reflected back to your calendar (Outlook or Google).

Once you are done, hit Save. You will see that the time entry is now shown in medium green.

If you assign this time entry to Absence or Holiday, once you have selected either one of these two options, simply hit Save; PSOhub doesn't require any project for these two types of time entry.

How to confirm the assignment to a project of a time entry (color is light green)

  • To confirm that the time entry is assigned to the correct project, single click the entry; PSOhub will open it up and display the assignment information.

  • You can change any information automatically selected by PSOhub or you can leave it as is if the assignment is correct. in both cases PSOhub will remember this assignment and the next time an appointment with similar information (description of appointment, project name, customer and location) is retrieve it will automatically assign it to the same project.

  • Once you are done hit Save.

Drag & Drop functionality / Increase & decrease time entry.

You can drag and drop a time entry that has been saved from one day to another. You can also increase and decrease its time length; simply hover your mouse over the cell and use the up and down arrow to increase or decrease the cell.

Once again any change made here will not be reflected back in your Outlook or Google calendar.
