Book time manually in the Timesheet calendar
To access the Timesheet calendar, choose from the menu Time & Expenses and Timesheet calendar:
You can book your time manually in two ways in the timesheet calendar.
1. Single-click one cell or select multiple cells in the timesheet
The first option is to single-click on a cell or select multiple cells at a time:
PSOhub will open up the following window:
Refer to the table below for an explanation of the fields:
Field | Description |
Time | You can edit the time of the time entry to be displayed in the timesheet. |
Date | If you click the down arrow, PSOhub will display the date of the time entry corresponding to where you clicked in the timesheet. |
Number of hours | Will display the number of hours corresponding to the cell(s) you have selected for this time entry (one single click corresponds to 30 minutes). |
Time classification | You will select here the time classification for this time entry. Note: If this time entry relates to internal time, you will need to choose Internal in order for PSOhub to display an internal project. |
Resource | By default, your name will appear in the time entry. However, as an Admin, Controller or Project Manager you can book hours on a team member's behalf. |
If you select Project or Internal as the time classification, you will need to complete the following fields:
Field | Description |
Customer | Use the drop-down arrow to select the customer of the project related to this time entry. |
Project | Once you have selected a customer, PSOhub will display the list of all active projects related to this customer. |
Line ID | By default, PSOhub will display the first active contract line. You can change it via the drop-down arrow. |
Task | Only tasks that have not yet been completed, and are part of a task list related to the above contract line field will appear here. |
Role | PSOhub will display the first role (in alphabetical order) it will find that is assigned to you. You can change it via the drop-down arrow. |
Description | Will display the title of this time entry when it was an appointment in your calendar (Outlook or Google). You can change this information if you need to; it will not be reflected back to your calendar (Outlook or Google). |
Once you are done, Click Save. You will see that the time entry is now shown in medium green.
If you assign a time entry to an Absence or Holiday, PSOhub does not require any project information. A holiday time entry can be defined as a Public holiday:
2. New time entry
The second option to book your time manually is by clicking on New time entry at the top right of the screen.
PSOhub will open a New registration window with the same fields as mention in method one above when clicking on a cell or multiple cells.
Complete the fields with the correct project information and once you are done, click Save.
Color coding of time entries
Color | Description |
Light grey | PSOhub has retrieved your calendar (Outlook or Google) and is not able to find a match to any project. You need to assign the time entry to a project; until then, the hour(s) will not be taken into consideration in the calculation of the "hours per week". |
Light green | PSOhub has retrieved your calendar (Outlook or Google) and has assigned the time entry to a project as a possible match. You will need to confirm the assignment of the time entry to this project; until then the hour(s) will not show in the project and will not be taken into consideration in the calculation of the "hours per week". |
Medium green | PSOhub has retrieved your calendar (Outlook or Google) and has matched the time entry to a project as a 100% match. This is also the color of a time entry that you create manually. You do not need to confirm anything, both the project and the calculation of "hours per week" have been updated with the time entry. |
Dark grey | The time entry is assigned to an Internal project. |
Light yellow | The time entry is assigned to the time classification Holiday. |
Light orange | The time entry is assigned to the time classification Absence. |
Dark orange | The time entry has been invoiced and can't be modified. |
Drag & Drop functionality / Increase & decrease time entry
You can drag and drop a time entry that has been saved from one day to another.
You can also increase and decrease its time length; simply hover your mouse over the cell and use the up and down arrow to increase or decrease the cell.
Manually synchronise the calendar
You can synchronise your past or current timesheet calendar with your Outlook or Google calendar at any time. You can click on the ellipsis button and select Retrieve Calendar.
The following message will appear:
Click OK and refresh your browser to load any new time entries.
