In PSOhub you can enter historic data (time and expenses) for your projects that were already ongoing before you started working with PSOhub.

This feature will allow you to book hours and expenses for all your users within PSOhub and, for hours, enter the hours in bulk (e.g. 50 hours).

To access this functionality click the Gear icon (Settings) and on the left hand side menu, navigate to Historic Data.

You will find here two options:

  • Add new time entry

  • Add new expense

ADD NEW TIME ENTRY

When you click on Add new time entry, PSOhub will generate a new line in the New historic timesheet grid.

  • Date: Use the calendar to select the date of this historic data time entry.

  • Project: You can type letters of your project's name or numbers of your project's number; PSOhub will display the list of all projects which contain the letters/numbers. Once you see your project, select it.

  • LineID: Use the dropdown arrow to select the contract line of this time entry.

  • User: Select the user (note that the user must be a team member of the project).

  • Role: By default, PSOhub will display the first role it finds for this user (alphabetical order). You can change it should you need to.

  • Hours: Enter the number of hours for this entry (you are not restricted to any number, it can be a bulk amount, e.g. 50 hours).

  • Rate: The system will display the standard rate of the role previously selected; you can change it should you need to.

  • Total: The total will be automatically calculated by PSOhub and can not be modified.

  • Comment icon: If you click on the red comment icon, you can enter a description for this entry.

  • Delete icon: If you click on the delete icon, you will delete this entry. Note that you can not delete a time entry if it has been invoiced.

As soon as you create the time entry (and before you hit Save), it will be posted in the project and appear in the Hours section of the project as well as in the timesheet (Calendar and Grid) and Hours List. Note that it will appear at 8:00am CET in the Calendar timesheet and will be represented by a one hour entry in yellow.

Modify Historic data time entry:

  • It is not possible to modify a historic data time entry from the timesheets (Calendar or Grid) nor from the project or Hours List. To modify a historic data, you need to have the access level rights of a Controller or Admin and must navigate to Historic Data in the Settings of PSOhub.

Once you hit Save, the historic data will move from the section New historic timesheet to Historic timesheets.

Report on Historic data time entry.

  • If you have the access level rights of a Controller or Admin, you will see in the Hours List an additional filter Historic Data which will allow you to report on all the historic data time entries.

ADD NEW EXPENSES

When you click on Add new expense, PSOhub will generate a new line in the New historic expense grid.

  • Date: Use the calendar to select the date of this historic data expense entry.

  • Project: You can type letters of your project's name or numbers of your project's number; PSOhub will display the list of all projects which contain the letters/numbers. Once you see your project, select it.

  • LineID: Use the dropdown arrow to select the contract line of this expense entry.

  • User: Select the user (note that the user must be a team member of the project).

  • Category: You can leave this field blank or select an expense category for this entry.

  • Amount: Enter the amount of this expense including tax; PSOhub will calculate the Amount excluding tax in the next field.

  • Amount ex Tax: PSOhub will calculate and display the Amount excluding tax of this entry based on the default tax rate or the tax rate specified at the contract line level.

  • Comment icon: If you click on the red comment icon, you can enter a description for this entry.

  • Delete icon: If you click on the delete icon, you will delete this entry. Note that you can not delete an expense entry if it has been invoiced.

As soon as you create the expense entry (and before you hit Save), it will be posted in the project and appear in the Expenses list screen.

Modify Historic data expense entry:

  • It is not possible to modify a historic data expense entry from the the project or Expenses List. To modify a historic data, you need to have the access level rights of a Controller or Admin and must navigate to Historic Data in the Settings of PSOhub.

Once you hit Save, the historic data will move from the section New historic Expenses to Historic expenses.
