The client portal of PSOhub is accessible via Guest Accounts. The following video you will get an overview of what is a guest account and how you can invite your customers as guests to one or more projects. To get a complete understanding, please take a look at the rest of the article below.

Guest Accounts

With guest accounts you are able to invite your customer as a guest to the client portal and access one or more projects.

Understanding what a Guest Account can see

  • Guest accounts and dashboard

Guests have access to their own dashboard where they can easily view their project’s key performance indicators.

Clicking on the tiles or on 'Details' in the Project list will give them direct access to the information. They can also navigate directly to the projects, task boards and tasks, hours and expenses as well as invoices from the menu bar.

  • Project information:

If a guest account is set with access to the financial information, he/she will see the amount of the different contract lines, time entries with their respective rate and overall value (in the Used column), expenses (Used column) as well as the invoices.

If a guest account is set with access to no financial information, he/she will see the quantity of hours booked and expenses as well as invoices.

  • Tasks and task board

As with a regular user, a guest account can access the task board and tasks of a project directly from the project (via the tab Task Board). Expanding the task board is also possible here by clicking on the top left and right arrows.

The guest account can also navigate to the Task Board menu where he/she will find the options to view their tasks only via My Tasks or the task boards of all their projects. Also the option to view All tasks they are assigned to is available.

From both area they will be able to perform the same actions as a regular user.

  • Invoice Approval

In addition to viewing all the invoices related to a project, a guest account can be set with the rights to approve them as well.

Invoices can be found in the right section of a project as well as via the bar menu under Invoices. Once a guest account opens an invoice, he/she will be able to preview or approve the invoice by clicking on the corresponding buttons.

Understanding how to create a Guest Account

  • Create a guest account via User Management in PSOhub settings:

Here you can assign to which projects you want the guest to have access. Guests can also have optional access to the financial information of projects and can also be authorized to approve (and automatically send) the invoices of a project.

Once you are done, simply click Send Invite(s); your customer will now receive an email inviting him to log into PSOhub as a guest account.

  • Create a guest account via the project team:

A project manager can also invite a customer as a guest via the project team.

When your are in the Tab Team you can click on the More button and select from here Add Guest.

If the customer is already defined as a guest account you will see him by clicking on the drop down arrow.

If the customer hasn't been defined yet, you can invite him directly from here. The same screen as in the User Management will appear with the same options i.e. they can have optional access to the financial information of projects and can also be authorized to approve (and automatically send) the invoices of a project.

Once you are done, simply click Send Invite(s); your customer will now receive an email inviting him to log into PSOhub as a guest account.

Your subscription plan will define how many guests you can invite; the table below shows the number of guests as of February 2021.
