PSOhub's Timesheet Grid offers a powerful new feature known as Retrieve Planning, providing a streamlined method for users to manage and book their time efficiently. This feature automatically retrieves, from active projects, all of a user's planned hours for the current week, allowing them to conveniently book these hours all at once on the Timesheet Grid.
Plan hours using Resource Planning
Before you utilize the Retrieve Planning function, it is essential that hours are first planned on projects, so that they are available for retrieval. Hours can be planned using the Resource Planning section of a project. Here, project managers and administrators can allocate specific contract lines to users and plan hours using one of the Monthly, Weekly or Daily views.
When used, the Retrieve Planning function runs a check over all of the active projects assigned to the user for any planned hours. It will then retrieve all of these planned hours and enter them automatically on the Timesheet Grid. From there, the user can make any relevant changes and save the retrieved hours as time entries.
Note: Task effort pushed into the resource planning of a project is currently not supported for retrieval of planned hours, as the effort is only pushed at the monthly level and not daily.
Note: Proposal, Archived and Closed projects will be excluded from retrieval. Only projects in the Active stage will be considered.
Retrieve planned hours on the Timesheet Grid
To access the Retrieve Planning function, choose from the menu Time & Expenses > Timesheet Grid.
From there, ensure that you are viewing the correct week. If the date range is incorrect, use the left or right arrows to navigate to other weeks of the year.
Once the correct week has been found, you can click on Retrieve Planning in the top-right corner.
You'll then be presented with the option to Include Planned Hours:
Include Planned Hours: All contract lines associated with the user in the current week will be pulled into the Timesheet Grid, with all planned hours included.
Exclude Planned Hours: All contract lines associated with the user in the current week will be pulled into the Timesheet Grid, with blank time entries.
β
Click on Retrieve. Hours will then be pulled into the Timesheet Grid for you to modify.
Important: The Timesheet Grid uses an Auto-Save, hence why there is no Save button.
Scenarios
When utilizing the Retrieve Planning function in PSOhub's Timesheet Grid, it's important to understand how the system handles specific scenarios:
Booked Hours: If hours have already been booked against a contract line, the Retrieve Planning function will not overwrite or modify the existing entries, it will add a new line when retrieving planned hours for that contract line.
Multiple Retrievals: Similarly, if a retrieval has already been performed for a specific week, clicking on Retrieve planning again will not overwrite or modify the existing entries. For example, if the function initially pulls 20 hours from a particular week, clicking on Retrieve Planning again will retrieve the exact same 20 hours. This behavior prevents unintentional changes to previously entered data
