In this article, we'll be covering how to make use of the Resource Planning feature at an organizational level to manage resources across all projects concurrently.
Access Resource Planning
To access the Resource Planning feature across all projects, click on the Resources menu and then select Resource Planning.
Before allocating resources or planning hours, please validate that Resource Planning shows the Planned view:
If Actuals is selected, this will show information on Resource Planning relating to booked hours from actual time entries entered by time entries. This can be useful when comparing already planned hours against the actual hours booked on a project to assess how the work for a project is progressing.
On the Resource Planning page, all resources are listed in alphabetical order. The page is made up of three main data entries:
Available: this is related to the capacity of the resource. It is made up of the remaining capacity and the total capacity for the resource. As hours are planned for the resource, the remaining capacity will decrease.
Total: this is the total number of hours that have been planned for the resource
Monthly/Weekly/Daily Totals: depending on which view has been selected, the total number of planned hours for each month, week or day will be listed
View Planned Hours for all projects
To view the hours planned for a resource over all projects, click on the + icon beside the name of the resource you'd like a breakdown of. Once expanded, all projects associated which the resource is assigned to will be listed.
Projects can be further broken down into contract lines by clicking on the + icon beside the name of the project.
From there, you can plan hours for any of the lines listed. Note that as you plan hours at a Month level, the hours will be automatically and evenly divided between the relevant Week and Day views.
Add contract lines manually
If you wish to plan hours against a contract line not showing on the Resource Planning page, you can assign this manually to a user. To do this, click on the Add line button at the bottom of the expanded dropdown for the resource.
This will open the Add Project window. From here, you can select the Customer and Project for the contract line you'd like to add.
After a project has been selected, you'll be able to select the relevant contract line and determine the associated role that the resource will be assigned to the project with.
Click on Save and note that the contract line will now appear at the bottom of the resource's dropdown.
Actual Hours on the Resource Planning view
Once you start booking hours towards a project, you can use the Actuals view on Resource Planning to compare booked hours with planned hours.
To do this, click on Used in the top-left corner of the Resource Planning view.
This will add an additional row for each line, which lists the number of hours booked against each specific contract line, so you can easily compare this with the planned hours.
In situations where the planned hours have been exceeded by the booked hours, the hours will appear in red.
Switch between Month, Week and Day views
Resource Planning on PSOhub can be broken down in 3 different views: Month, Week or Day.
Monthly View
To access the Monthly View, click on the Month button in the top-left corner of the Resource Planning view:
In this view, the calendar year is broken down by months, from January to December. To navigate to a past or future year, use the left or right arrow buttons.
In the fields below each respective month, you can enter the number of hours that you would expect the resource or role to complete towards that particular contract line. To easily navigate from one month to another, use the Tab key on your keyboard.
Important: As hours are entered on the Monthly View, these hours will be evenly split across all weeks of the month and all days of the month. It's a good idea to check both the Weekly and Daily Views once you have entered hours on the Monthly View.
Important: to remove a value in the grid, you must enter a 0 in the field, to override the previous value. Pressing the backspace or Delete will not remove the current value.
Weekly View
To access the Weekly View, click on the Week button in the top-left corner of the Resource Planning view.
Alternatively, you can click on any of the 12 months to open the Weekly View on the selected month.
In the Weekly View, the month selected is broken down into weeks. To navigate to a past or future month, use the left and right arrow buttons.
Note: For some months there may be weeks which overlap with other months. Such weeks will appear in the Weekly View for both months. For example, Week 22 includes dates from both May and June, so will be included under both May and June.
Important: As hours are entered on the Weekly View, these will be evenly split across all days of the week and will also contribute to the planned hours for the month. It's a good idea to check both the Daily and Monthly Views once hours have been entered on the Weekly View.
Important: to remove a value in the grid, you must enter a 0 in the field, to override the previous value. Pressing the backspace or Delete will not remove the current value.
Daily View
To access the Daily View, click on the Day button in the top-left corner of the Resource Planning view:
Alternatively, you can click on any of the weeks for a particular month to open the Daily View on the selected week.
In the Daily View, the selected week is broken down into individual working days from Monday to Friday. To navigate to a past or future week, use the left and right arrow buttons.
Important: When planning hours on the Daily View, note that the total hours planned will contribute to both the planned hours for the week and the planned hours for the month. It's a good idea to check both the Weekly and Monthly Views once hours have been planned on the Daily View.
Important: to remove a value in the grid, you must enter a 0 in the field, to override the previous value. Pressing the backspace or Delete will not remove the current value.
