How to define the capacity of your resources

Learn about the different ways of setting up the capacity for your resources, particularly those with a flexible work schedule

Managing the capacity of individual resources is crucial for effective project planning and resource allocation. While a 40-hour working week serves as the standard in many countries, some workplaces often accommodate diverse and flexible arrangements to accommodate the unique needs of their teams. These arrangements include variations such as a compressed 32-hour working week, as well as alternating schedules where hours fluctuate from week to week.

PSOhub provides support for such flexible working schedules through its capacity functionality and allows users to implement custom capacity settings. In this article, we'll explore how to set up custom capacity for resources, particularly those with flexible working arrangements.

Setting capacity when inviting new users

When inviting a new user to your PSOhub account, you'll initially set their Working hours. While it's not possible to establish a flexible working schedule from the outset, this can be adjusted later.

For users with flexible arrangements, it's advisable to enter the average number of hours worked in a typical week. Alternatively, in the case of an alternating workweek (e.g., 40 hours one week, 32 hours the next), initially setting the Working hours to 40 is recommended. This can be manually adjusted after the user setup is complete.

Changing Capacity Under User Settings

Once a user is fully set up in PSOhub, you can proceed to set up their capacity manually. Here's how:

  1. Click on the Settings icon in the top-right corner. Go to User Management and then click on Users.

2. Click on the user you wish to set up capacity for and navigate to the Capacity tab.

The Capacity tab is split into two main sections. The Working days section and the Available capacity section.

The Working days section is to be used, alongside the Update capacity button, to customise the Available capacity for a set week of the calendar year:

Examples of flexible working schedules

Standard work-week: For a team member working 40 hours per week, you'll simply set each of the working days to 8 hours. No need to use the Update capacity feature.

Part-time hours: In situations where you have employees on a part-time work schedule, for example 20 hours per week, you would update each day appropriately. For days where the employee does not work, set the number of hours to 0.

Compressed workweek: Some employees may work a compressed workweek with 4 days of 10 hours instead of the usual 5 days. You would simply set the Working days to 10 hours and for the 5th day which the employee has off, you'll set to 0 hours.

Alternating weeks: In cases where an employee has an alternating week work schedule, there will be more steps involved to set this up.

As an example, for an employee working alternating weeks of 40 hours and 32 hours:

  1. Under the working days section, set all work days to 8 hours.

  2. Click Update Capacity and select the week you'd like this alternating schedule to begin

  3. Now that the first week of the schedule has been set, enter the alternate workweek hours under the Working days section.

  4. Click Update Capacity and select the second week in the alternating schedule. Then click Update

  5. Note that under the Available Capacity section, the alternating weeks will show. Repeat the process in Steps 1-4 for each alternating two weeks.

By following these guidelines, you can efficiently configure user capacity in PSOhub to accommodate diverse working arrangements, ensuring accurate resource planning and effective project management.
