Resources in PSOhub

Understand how Admin and Controller users can build resource profiles and track KPIs

In a people-centred business, it's important to get resource management right. With PSOhub, you can resource smarter, plan for success, match skillsets more effectively and forecast for future-readiness.

Choose from the menu Contacts and Resources.

The Resources module appears with a list of all resources (users) in your organisation.

These resources may have been created from the User settings, however it is also possible for the Admin to create new users in this overview, by clicking the Invite new users button. The steps are the same as for creating a new user.

This list can be leveraged as a report by applying filters to refine results and click on the Export to Excel button to extract the data. The example below, shows the Business Unit column applying the filter "Australia" to find all resources matching that variable.

To review a resource's information, click on the desired record. The following details will appear:

The resource profile

To understand the resource information stored, let's dissect this overview, starting with the left-hand pane:

The table below will explain the basic resource profile information:

Field

Description

Stage

Here, custom resource stages can be created from the organizational settings. For example, the stages can be used to define the resources service of employment status:

  • Active

  • Contract ended

  • Freelancer / sub contractor

  • Onboarding

Current Utilization

Based on the resource's utilization target (as configured in the user settings), here you will see the resource's current utilization, indicating if they are on track or not of their expected billable target.

Back in the Resources list, the Utilization column will indicate if the resource is On target or Behind target:

A Utilization report can be generated to monitor if your business unit(s) and resources are performing as expected.

About this resource

Under this section, personal profile details can be stored such as:

  • Date of birth

  • Work email address

  • Home/work address

  • Business unit the resource belongs to in your organization

  • Phone number

  • Linked In profile page

  • Instagram page

  • Facebook page

This information can be modified by clicking the Edit button.

Modify the resource's profile

As mentioned above, under the About this resource section, the resources' profile information can be added. By clicking on the Edit button at the bottom of the section, the Resources profile window opens:

The fields are optional, therefore you can provide as much information as required. Click Save to return to the resource page.

User access level

In addition to the User settings, the resource's PSOhub access level is also available under the About this resource section. Simply click the User button:

The User properties window appear. Click the ACCESS & ROLES tab to display the resource's access level:

If necessary, you can modify the access level, in addition to the other fields and click Save. Otherwise, close the window by clicking the x button.

Resource planning

The resource's planned hours are available by clicking the Planning button:

The Resource planning screen appears:

You can expand the planning to display the projects the resource is working on and their planned or used hours on a day/week/month basis. You can click on the Capacity Overview to display your organization's entire resource capacity forecast.

Other resource information

In the middle of the resource's profile page, the latest information about the resource's productivity, skillset, documentation and schedule is recorded.

The Overview tab

Here, you will see the latest key performance indicators (KPIs) or objective-key performance indicators (OKRs) for the individual resource.

The tiles on the dashboard represents:

Days spent on projects

The total number of days consumed on projects not defined as Internal.

Absence days

The total number of days booked as absent (i.e. sick day, private appointments).

Internal days spent

The total number of days worked on Internal (non-billable) projects.

Holiday entitlement days left

The total number of paid vacation days left for for the current year.

The time management graph indicates how many hours have been spent on projects, holiday (vacation), internal projects and absences each month by the resource.

The Tasks tab

This tab displays all tasks assigned to the resource. This view works the same way as the resource's own My Tasks view, under the Plans module:

By default, the tasks will be displayed as a list under the categories: Overdue, Due Today, Upcoming, Unplanned and Completed.

The list can be refined by clicking on the ellipsis button (...) to apply filters. You can also expand the view by clicking the double arrows in the top-right.

Here, you will find the status of the task, checklist, milestone flag, attached files, board name, assigned resources, start and due date, effort, used and priority.

As the Admin, you can mark a task as complete or open the task to modify it.

The Skills tab

In this tab, the Admin can add special skills, such as languages, IT, programming or any other professional skills that will enable you to select the right resources for the right projects. It will also give you the opportunity to highlight skills where resources can develop their capabilities. As an professional services organization, you can improve project delivery with best-fit resources:

  • Align skills with project demands

  • See skills gaps before they impact projects and clients

  • Identify opportunities for development

  • Access skill insights about each team member.

Click the Add skill button.

Skill categories and skills can be selected from the respective drop-down lists. The skills and categories are configured in the organization's Skills settings. Below are examples: languages, programming languages, marketing and project management.

Click Save to display the resource's skillset:

The Files tab

You have the possibility to upload files to support the resource's profile. These can be for example, professional certificates, or a copy of their passport or driving license.

The Scheduler tab

The scheduler opens in the current month. As the Admin, you can schedule appointments for the resource but also schedule project activities, absences, holidays and public holidays. This enables you and the project manager to have a clear overview of resource's availability.

Project information

In the right-hand pane, you will see the projects assigned to the resource, and their booked hours and expenses. By clicking on any of the Show all related ... links, you will be taken to the Projects, Hours or Expenses overviews and see the related records.
