Migrate to PSOhub: How to Import Your Data

Introduction

When you transition to PSOhub, you can bring your existing data across — including ongoing projects, time entries, expenses, and historic invoices.

PSOhub provides dedicated import tools for each data type. To get the best results, it is important to follow the steps in the correct order. Each step depends on the previous one: you cannot import hours without projects, and you cannot import projects without companies and contacts.

This guide walks you through the full migration sequence from start to finish, with links to the detailed how-to article for each step.

Before You Begin

Before importing any data, your PSOhub environment must be fully configured.

This means users, roles and rates, project types, contract templates, and plan templates must all be set up before you start importing. Importing data into an incomplete environment can cause errors that are difficult to correct after the fact.

Step 1: Import your companies and contacts

Start by bringing over your customer data. Companies and contacts must exist in PSOhub before you can create projects against them.

You have three options for importing companies and contacts, depending on whether you use a connected CRM:

  • From your CRM — import directly from HubSpot, Salesforce, or another connected CRM. This creates the link between your CRM records and PSOhub, preventing duplicates when new deals are created later.
  • From an Excel file — use the PSOhub Excel templates to import companies and contacts manually. Note that these records will not be linked to your CRM.

💡 Tip: If you plan to create projects from CRM deals (Step 2), you can skip this step —                 companies and contacts will be created automatically when you import the deals.

Step 2: Import your projects

With companies and contacts in place, you can now bring over your projects.

You have two options:

  • Manual project creation — recommended when you have a manageable number of projects. Having each project manager create their own projects is also an effective way to get your team familiar with PSOhub.
  • Project import — use the Excel import template to bring over multiple projects at once, including contract lines, budgets, team members, and roles.

Step 3: Import your hours and expenses

Once your projects exist in PSOhub, you can import the time entries and expenses associated with them.

⚠️ Important: If hours approval is enabled in your organization, imported hours will be                created with an unapproved status and will follow your standard approval workflow. If         hours approval is disabled, imported hours will be automatically approved. During the            import period, set a time entry freeze for your team to prevent manually entered hours         from being auto-approved unintentionally.

Step 4: Import your tasks and plan templates

A plan template is a reusable task structure in PSOhub — a pre-built set of phases, tasks, and milestones that you can apply to any project. If you are migrating from another tool, your existing project templates or work breakdown structures can be brought across as plan templates.

If you need to bring tasks into PSOhub — whether for an ongoing project or as a reusable structure for future projects — importing a plan template is the way to do it. This step is optional if you are building your task structures from scratch in PSOhub.

Step 5: Create your historic invoices

The final step is to record any invoices that were created before you started using PSOhub.

This is a manual process in PSOhub — there is no bulk invoice import. Creating historic invoices ensures your financial data is complete and your project totals reflect what has already been billed and paid.

PSOhub supports historic invoices for different billing types: fixed fee, T&M, expense, retainer and products.
