Import Plan Templates

Learn how administrators can quickly set up multiple plan templates on PSOhub using the Import feature.

The Import feature for plan templates allows administrators to quickly upload multiple plan templates into PSOhub. This feature is particularly useful when you need to set up a large number of plan templates at once, or you want to import existing templates from another project management solution.

Preparing your data for import

Before importing your plan templates into PSOhub, it's important to ensure that your data is correctly structured. Follow these steps to prepare your import file:

Download the Sample Import File

Download the sample import file to use as a template. This file will show you the required structure and fields for the plan templates: PLAN IMPORT FILE

 

Fill out the PSOhub Import File

  • Enter each plan template, with related contract template, associated tasklists, tasks and checklist items

  • Ensure that all required columns are filled in (e.g. PlanTemplateID, PlanTemplate)

  • Double check for missing or incorrect data, especially in columns like Effort, Priority, TaskStartDate and TaskDueDate, ChecklistUniqueID and ChecklistDescription.

Validate Your Data

  • Make sure that all required columns have valid entries and are correctly formatted.

  • Ensure that numeric fields (like Effort) contain only numbers and not text or special characters.

  • Confirm that TaskStartDate and TaskDueDate are in the correct date format.

 

Important Guidelines for Importing Plan Templates

To ensure a smooth import process, please follow these important guidelines for the import file:

Column Name

Guideline

PlanTemplateID

Each plan template must have a unique ID number.

PlanTemplate

The name of the plan template.

ContractTemplate

The name of the contract template which is associated with this plan template. This field can be left blank.

Currency

The currency for the plan template (eg EUR, USD, GBP, CAD, AUD etc). This needs to be a valid currency that has been set up on your account. This is also a required field.

TasklistOrderNumber

Each tasklist must have a unique TasklistOrderNumber within its associated plan template. This number determines the order in which the task lists appear for that plan template.

When you have multiple task lists for a plan template, ensure that the PlanTemplateID, PlanTemplate, ContractTemplate, and Currency fields are copied down for each task list.

TaskList

The name of the tasklist as it will appear on the plan template.

TasklistContractGroupline

The Line ID number and name of the contract line that the tasklist will be linked to, e.g. 10.001 - Compliance & Client Accounting

OrderNumber

Each task must have a unique OrderNumber within its associated tasklist. This number will determine the order in which the tasks appear for that tasklist.

When you have multiple tasks for a tasklist, ensure that the PlanTemplateID, PlanTemplate, ContractTemplate, Currency, TasklistOrderNumber and TaskList fields are copied down for each task.

TaskName

The task name (e.g., "UI Wireframing"). Make sure task names are meaningful and descriptive.

TaskDescription

Provide clear descriptions for each task. This can be left blank.

Assigned

Used to assign the task to a resource on the plan template. The email address of the resource must be entered here (eg john.doe@example.com). To assign the task to multiple users, separate the email addresses with a comma (eg john.doe@example.com, jane.doe@example.com).

TaskStartDate

Ensure the date format is consistent (eg DD/MM/YYYY).

TaskDueDate

Ensure the date format is consistent (eg DD/MM/YYYY).

IsMilestone

This field must be set to True or False. This field will determine whether a task is set up as a milestone on the plan template.

Effort

The estimated hours for each task (eg 7).

Priority

The priority of the task (Low, Medium or High).

ChecklistUniqueID

Each checklist item must have a unique ID number from all other checklist items that is sequential.

When you have multiple checklist items for a task, ensure that all fields for the task (PlanTemplateID, PlanTemplate ContractTemplate, Currency, TasklistOrderNumber, TaskList, OrderNumber, TaskName, TaskDescription, TaskStartDate, TaskDueDate, IsMilestone, Effort, and Priority are copied down for each checklist item.

ChecklistDescription

The description or name of the checklist item.

ChecklistDueDate

The due date associated with the checklist item. This can be left blank if not needed.

How to Import Plan Templates

Once your data is ready, follow these steps to import the plan templates:

Navigate to the Plan Templates section

  • Click on the gear icon in the top-right corner to access Settings.

  • On the left-hand side menu, click on Templates and then select Plan Templates.

  • In the top-right corner click on Import.

Step 1: Upload Your Import File

  • Click on Click here to upload your .xlsx file and select the prepared import file.

  • If there are any problems with the import file, PSOhub will prompt you with an error message.

Step 2: Validate the Import Data

  • PSOhub will map all of the data from your import file to the relevant import fields.

  • If any tasks are mapped incorrectly, an error will appear in the Error column.

  • Carefully review the data for accuracy. If any of the data is mapped incorrectly, click on Delete selected or Delete all, adjust the import file and re-upload it again.

Start the Import

  • Once the data has been confirmed as correct, click on Create or update tasks for imported data.

    In the next window, click on Create new plan templates.

  • The import may take a few moments to complete, depending on the size of the file.

  • Once successfully imported, a success message will appear.

    You can navigate back to the Plan Templates screen to review the newly imported plan templates.
