How to mass import contacts
Understanding the import of contact data
This import functionality will allow you to create projects with their related contact data.
Contact data can be imported using an Excel template, from your integrated CRM (HubSpot or Salesforce) or your integrated financial solution (QuickBooks Online, Xero or Exact Online).
Once your contacts have been imported, they will appear in the Contacts list:
Import contacts from your CRM or financial solution
In the Contacts list, click the Import button:
The Select import source window will appear based on your CRM and/or financial solution integration. In the example below, HubSpot is the integrated CRM and QuickBooks is the integrated financial solution:
Click on HubSpot.
The following window will appear:
You can search for contacts to import on first name, last name or email address. When you click Search the results will return. If you require additional contacts, you can continue to search for them until you are complete:
If a contact you're searching for already exists in PSOhub, you will see an exclamation mark icon in the Exists in PSOhub column of the search window:
Important: When an existing contact(s) is imported, PSOhub will not create duplicates. Instead, it will merge the contact IDs to avoid any data corruption.
To import the found contacts, check the box for all contacts or for individual contacts, before clicking the Import button:
A confirmation message will appear:
Click OK to return to the Contact list. If you search for your newly imported contacts, they will now appear:
Important: If your organization uses business units that are connected to different financial integrations, you can search for contacts across the integrations and select the contacts to be imported.
Import contacts from an Excel file
If your contacts are not stored in one of the above supported solutions, you can import data using a specific Excel template:
When you're ready to import the file, navigate to the Contacts list and click the Import button:
In the Select import source window, click on PSOHUB to import contacts from an Excel file:
The following appears:
Click in the Click here to upload your .xlsx file box and upload your contacts template file. The data will load in the preview grid, where you can modify fields or delete entire records. Once the data is ready, click on the Create or update contacts from imported data button:
The following message will appear:
If PSOhub recognises a contact's email address, it will not duplicate the contact but merge the contact IDs. If the email address is unique, a new contact record will be created.
Click the Proceed button.
In the following confirmation message, click OK.
