Tasks by Kanban (Task Management)

Understand how all tasks are visible in the board Tasks by Kanban

The Kanban board is not for everyone's use. For some projects, the project plan is sufficient for identifying tasks required, ticking them off as you go and registering hours against those tasks. Kanban boards are typically applied for agile project management such as software development, engineering and product development, support teams, QA teams and portfolios.

The Tasks by Kanban serves three purposes:

  1. Visualize delays and workflow weaknesses

  2. Focus on the work currently at hand

  3. Reduce the need for basic status update meetings.

Important: Only the security access levels Project Manager, Admin and Controller have permissions to the Task Management overview.

Choose from the menu Plan and Task Management:

In the left-hand menu, under Plan, click Tasks by Kanban:

The Kanban will display all due tasks based on any filters applied in their appropriate lanes.

By default, the Kanban consists of three lanes, To do, Work in progress and Done.

In the left-hand pane, filters can be applied to refine the results of the tasks:

Filter

Description

Date period

The tasks will be filtered using these date periods based on their due date:

The Custom period will allow you to select a due date from and to:

Business unit

The results will be restricted to tasks belonging to a specific business unit.

Resource

Restricted to filter by resource name.

Status

The results will be filtered by checking or unchecking task status: To do; In progress and Completed.

Priority

The results will be filtered by checking or unchecking the task priority: n/a; Low; Medium; High.

Other: My boards

By default, this filter is unchecked.

When this field is checked, all tasks belonging to a project where you are the project manager will be displayed.

As tasks are worked on, the project manager, admin or controller can move tasks (by dragging and dropping) to the desired lane to highlight the tasks progress in a chosen date period and whether there are tasks putting a project(s) at risk.

In this overview, you can create tasks on the fly. In the top-right hand corner, click the Add Task button and define the task.
