Create a Guest User
Learn how to invite Guest users and control exactly what external stakeholders can see and do in PSOhub.
Guest users in PSOhub allow you to give external stakeholders controlled access to your PSOhub account. This is useful when you want clients, partners, subcontractors or customers to view project progress, collaborate on tasks, review financial information or approve invoices, without giving them full internal access.
This article explains how to create a Guest user and configure their access so they only see what is relevant to them.
Before You Begin
Before creating a Guest user, make sure the following requirements are met:
✅ You have permission to manage users in PSOhub (typically Admin access)
✅ You have the email address of the person you want to invite
✅ You’ve decided what access the Guest user should have (for example, tasks only, financial visibility, or invoice approval)
Create a Guest user
Follow the steps below to invite a new Guest user to your PSOhub account.
Go to Guest Settings
In the main menu bar, click the Gear icon to access Settings
On the left-hand side menu, select My Organization and select Guest Settings
Open the Guest accounts tab
This page shows all existing Guest users and their current access settings.
Invite a Guest user
Click Invite guest
Enter the Guest user's email address
This email address will be used to send the invitation email and guest activation link.
Configure Guest access
When inviting the Guest user, you can define their access and visibility settings, as well as assign them to specific projects and plans.

Guest access & financial settings
Use these settings to control what the Guest user can access and whether they can view or interact with financial information.

Use these settings to hide specific Plan Views from the Guest user’s interface.

Assign to projects and plans
By default, Guest users do not have access to any projects or plans. You can use this field to explicitly assign access to particular projects and/or plans.

Note: You can update a Guest user’s access at any time by returning to the Guest accounts tab and editing their settings.
Send the Invitation
Once you’ve configured the Guest user’s access and assignments, you’re ready to send the invitation.
Click Send invite.
PSOhub will send an invitation email to the Guest user with an activation link.
Important: Until the guest user has opened the activation link, they will not be able to access PSOhub.
What Happens Next?
Once the activation link has been opened by the Guest user:
- The Guest user can log in to PSOhub
- They will only see the projects, plans, and features you selected
- Their access can be updated at any time from Guest Settings
FAQs and Troubleshooting
Why can’t the Guest user log in after I sent the invitation?
The Guest user must first open their activation link in the invite email and complete their account activation. Until this is done, the Guest user will remain in a Pending state and will not be able to access PSOhub.
Note: You can find pending guest users in the Pending invites section of the Guest Accounts list.
The Guest user didn’t receive the invitation email. What should I do?
Start by checking the following:
- Confirm the email address was entered correctly when inviting the Guest user
- Ask the Guest user to check their spam or junk folder
If the email still can’t be found, you can access the Guest user’s activation link from the Pending invites section.
To do this, go to Settings → My Organization → Guest Settings → Guest accounts, then click Pending invites.
Why can’t the Guest user see any projects or plans?
By default, Guest users do not have access to any projects or plans.
You must explicitly assign access to projects and/or plans either:
- During the invitation process, or
- By editing the Guest user’s access after the invitation has been sent
Can I deactivate or remove a Guest user?
Yes. You can deactivate a Guest user from the Guest accounts tab.
To do this:
- Open the Guest user record you want to deactivate
- Click Deactivate
Once deactivated, the Guest user will no longer be able to log in to PSOhub.
