Client Portal - what is a Guest account?
Understand the client portal in PSOhub and learn how you can invite your customers as guests to one or more projects
Guest Accounts
With guest accounts you are able to invite your customer as a guest to the client portal and access one or more projects. The client portal is easily identifiable by the GUEST icon in the main menu:
Understanding what a Guest Account can see
You can define the access of your guest accounts based on the following three options:
Access to Tasks and Plans only
With this option, a guest account will only have access to Plans and My Tasks.
When logging in PSOhub, the guest account will automatically land in My Tasks and will have access to the List, Plan, Tasks by Week and Kanban views. He/she will be able to modify, mark as complete and create tasks but will not be able to book time on a task.
Navigating to Plans will give a guest account access to all plans where he/she has been added as a guest account.
Within the plan, the guest account will have access to all the views.
Including the Team, Conversations, and Timeline.
He/she will be able to modify, mark as complete as well as create tasks from here.
Access level: Tasks and Plans only No, Financial information No, Approving invoices No.
With this option, a guest account will have access to Plans and My Tasks and will automatically land in My Tasks. He/she will also have access to the Projects module as well as to the Time & Expenses module.
Under Projects, the guest account will be able to open projects where he/she has been added to the Team. In the project, he/she will see the number of planned hours vs used and will also have access to the Tasks tab where he/she will be able to update the tasks.
Under Invoices, the guest account will see all invoices of projects where he/she has been added to the Team.
He/she will be able to open an invoice and see the financial information related to that invoice.
Under Time & Expenses, the guest account will see time entries of the projects where he/she was added to the Team.
Access level: Tasks and Plans only to No, Financial information Yes, Approving invoices No.
With this option, a guest account will have access to Plans and My Tasks and will automatically land in My Tasks. He/she will also have access to the Projects module as well as to the Time & Expenses module.
Under Projects, the guest account will be able to open projects where he/she has been added to the Team. In the project, he/she will see the number of planned hours vs used as well as expenses and will also have access to the Tasks tab where he/she will be able to update the tasks.
Under Invoices, the guest account will see and open all invoices of projects where he/she has been added to the Team.
Under Time & Expenses, the guest account will see time but also expense entries of the projects where he/she was added to the Team.
Finally, the guest account will have access to a dashboard where he/she will have access to some financial information related to the projects.
In the Project list and clicking on Details the guest will have direct access to task information.
Access level: Tasks and Plans only No, Financial information Yes, Approving invoices Yes.
With this option, a guest account in addition to having access to Plans and My Tasks, financial information on projects and financial dashboard, will also be able to approve invoices.
Understanding how to create a Guest Account
Create a guest account via User Management and Users settings:
Here, you can assign which projects you want the guest to have access to. Guests can also have optional access to the financial information of projects and can also be authorized to approve (and automatically send) the invoices of a project.
Once you are done, simply click Send Invite(s); your customer will now receive an email inviting them to log into PSOhub as a guest account.
Create a guest account via the project team
A project manager can also invite a customer as a guest via the project team.
When your are in the Team tab of the project, you can click on the Add Guest button, select your guest user(s) and click Save:
If the customer hasn't been defined yet, you can invite he/she directly from here:
The same screen as in the User Management and Users settings will appear with the same options, i.e., they can have optional access to the financial information of projects and can also be authorized to approve (and automatically send) the invoices of a project.
Once you are done, click Send Invite(s); your customer will now receive an email inviting him to log into PSOhub as a guest account.
Your subscription plan will define how many guests you can invite. The table below shows the number of guests.
