How to invoice Products

Learn how to invoice Products in PSOhub whether they’re billed once, based on usage, or automatically on a recurring schedule.

In PSOhub, Products represent predefined or tangible items such as hardware, software licenses or subscriptions that can be billed as part of a project.

The way a Product is invoiced depends on its Billing Frequency, which is defined when the Product is created and added to a Price List.

This billing frequency determines whether the Product is invoiced manually or automatically.


Types of Product Invoicing

There are three ways to invoice Products in PSOhub:

  • Manual one-time invoicing: for Products billed once
  • Manual usage-based invoicing: for Products billed after consumption and based on Expenses booked on the project
  • Automatic recurring invoicing: for Products billed on a schedule (Monthly, Quarterly, Yearly)

Note: Billing Frequency is defined for a Product at the Price List level. This cannot be changed in the project. If billing frequency needs to be changed for a product, an administrator will need to update this.

Manual one-time invoicing

Manual one-time invoicing is used for Products that are billed once.

These are typically items or services such as setup fees, hardware purchases, or any other deliverables that require a single invoice.

Once invoiced, the Product’s Invoiced column will update automatically, and the invoice will appear in the project’s Activity Feed and any connected financial integrations.

Manual usage-based invoicing

Manual usage-based invoicing is used when a Product is billed based on actual consumption or usage.
Usage is tracked by logging expenses against the Product contract line in the project. These expenses represent the actuals that will later be invoiced.

When a Product is billed after consumption. For example, per-user, per-unit, or per-hour costs. Usage-based Manual

During invoicing, you can choose to include all usage entries in detail or summarized form, depending on your Invoice detail level setting.

Automatic recurring invoicing

Automatic recurring invoicing is used when a Product is billed on a repeating schedule, such as monthly, quarterly, or yearly subscriptions, hosting fees etc.

When to Use Billing Frequency Invoice Type
When a Product requires automated recurring billing based on an ongoing contract period. Monthly, Yearly, Quarterly Recurring Fixed Fee

PSOhub will automatically generate invoices according to the Product’s billing schedule. You can choose whether invoices are first created as drafts for review or automatically approved and sent to your client.
