Import Detailed WBS Data for Products
An Admin user's guide to importing detailed Work Breakdown Structure (WBS) project data for products

PSOhub has introduced an Advanced WBS Project Import function to provide more control over detailed project data. This secondary method allows you to import specific Work Breakdown Structure (WBS) data, such as Quantity, Price Per Unit, and related products.
⚠️Important: Access to import project data is restricted to Admin users only.
Core overview
Admin users can now choose between two methods depending on their specific needs:

Standard Import: The existing method used for initial project setup.
- Advanced WBS Import (New): A secondary option specifically for importing WBS data (Quantity, Price Per Unit, and related products).
Prerequisite & requirements

Contract template: Contract templates with contract lines must already exist.

Data Creation: PSOhub will automatically create new customers (companies) or contacts if they are not yet in the database.
Key rules & validation
To ensure a successful import, the following rules apply:
- Supported Types: Only the contract line type ‘Product’ is supported.
- Database Matches: Contract templates and contract line names must match existing entries in the database.
- Product Price List: This should be the same as the selected product price list connected to the contract line.
- Project Consistency: For each project, values for Business Unit, Currency, Customer Name, Project Manager, Contract Template, Invoice Contact, Date, Stage, and Type must be consistent across all rows.
- Billing Frequency Start Date: Only allowed for recurring products.
Prepare your import file
Before starting the import, download and complete the official Project Import WBS Excel template.

⚠️ Important: Only this template is supported. Do not modify the column structure or sheet names.
Start the import
1. Go to the Projects menu and select the Projects overview.
2. Click the Import button in the project overview:
3. Select the import type, Project WBS:

4. Click on the link to access the Excel import template. Once the template has been filled in, click on the box to upload your file:

5. The file loads in the Project WBS import wizard window. Click on Step 2: Validate data, where the system will check for errors. 
6. If invalid data is found, a Warning message will appear. Click OK.
7. You will see information in the Errors column and a summary of the total errors detected:
8. You must resolve the errors before re-uploading the file by clicking the red Re-upload document button.
9. Once the file has been re-uploaded and validated with no errors, the following message will appear. Click OK.
10. As the message window states, click on the Step 3: Start Import button for the data import to begin:

11. The project data loads and displays the project name, total contract value, business unit and contract template name. When multiple projects are to be imported at the same time, use the pagination at the bottom of the screen to page through each project. Click the Step 4: Validate project button. Each project will be reviewed before all project data is finally imported.

12. At the bottom of the screen, the total number of projects successfully validated will be displayed. When paging through each project, in-line editing is possible for the Contract Line Template, Contract Line Description, QTY, Unit Price, and Cost Price fields.
Click the Step 5: Import all projects button to finally import all the project data and create the projects:

13. To proceed with the creation of your projects, click OK.

16. In the Project's overview, open your project and verify that the contract values are correct:

⚠️ Important: For optimal validation performance, upload a maximum of 20 projects per import. If you need to import more than 20 projects, split the data into smaller batches and process each batch separately.
