Integrate PSOhub with SAP Business One

Learn how to integrate with SAP Business One and understand how the connection works.

This article will provide the Admin user with in-depth information regarding the integration of PSOhub with SAP Business One. You will learn how the integration works, which data is being sent and what the limitations are.

Configure the Business Unit

In the main menu, click on the Gear icon to access the organization settings:

In your Organization settings, go to Business Units and click on the business unit to be connected to SAP:

The business unit settings appear. If the business unit is a legal entity in your organization, please check the box Legal entity:

Set the business unit as a legal entity in your organization.

Click the Save button.

Integrate with SAP Business One

In the Organization settings, go to Marketplace & Integrations and select the business unit:

In the Accounting for [Business Unit name] section, click on the SAP Business One Connect button:

PSOhub will validate the above nine key steps before successfully connecting to SAP.
In Step 1: Credentials & URL, click on the Configure button.

In the following SAP Credentials window, enter your SAP login details and URL:

Click Save to return to the previous window. Step 1 will be displayed with a green check to mark it successful:

In Step 2: Database name, click on the Configure button, and enter the name of the SAP database:

Click Save to return to the previous window. When the database is successfully connected, a green check will appear:

In Step 3: Test connection to database, click on the Test button. When the connection is successful, another green check will appear:

The retrieved GL accounts will automatically appear in the GL Accounts settings, under the My Organization menu:

In Step 5: Retrieve dimensions, click the Retrieve button. Again, depending on the number of dimensions, this step may take a couple of moments. Once successful, the check mark will appear:

Note: After the integration, if there are additional dimensions not already listed, you can click the Retrieve dimensions button to automatically pull the new dimensions from the SAP database.

In Step 6: Retrieve tax codes, click the Retrieve button. Depending on the number of tax codes, this step may take a couple of moments. Once successful, the check mark will appear:

All the retrieved tax codes are displayed in the Tax Categories settings, under the My Organization menu:

In Step 7: Activate SAP, click on the Retrieve button. A green check will appear once SAP is active for the chosen business unit:

In Step 8: Create price list and sales items, click the Create price list button to create a price list and import items. A green check will appear once successful: 

Finally, Step 9: Send invoices as draft to SAP is optional. By activating this step, you can send draft invoices directly to SAP, allowing the invoices to be reviewed, adjusted, and validated before final posting. At any time, this step can be deactivated.

Close the window to bring you back to the integrations screen. The SAP connection tile will confirm an active connection has been made, and a Settings link will appear:

If you click on the Settings link, the confirmed steps will be displayed:

Now, you are ready to invoice!
