How to manage skills and roles with AI Actions

This guide shows you how to create and change your organisation's skills and project roles, including the sales and cost rate per hour of each role, by asking your AI assistant, Claude or ChatGPT. Skills and roles are master data: they are used when you plan people, staff projects and calculate budgets.

New to AI Actions? Start with AI Actions: create and update PSOhub data with your AI assistant. It explains how the preview and your approval work.

Before you start
  • Your AI assistant, Claude or ChatGPT, is connected to PSOhub. See Connecting your AI assistant to PSOhub.
  • Your account has access to AI Actions, a paid feature.
  • You are an administrator. Only administrators manage skills and roles.
Big jobs in one request

These requests replace adding skills and roles one by one in the settings.

You say

What happens

"Here's our skills matrix. Add all these skills with their levels and categories."

Up to 50 skills in one go, each in its category and at its level. New categories are created along the way. Duplicates are left out.

"Create the roles from our 2027 rate card: Consultant €135/€70, Senior Consultant €165/€85, Architect €190/€95."

Three roles in euros with those sales and cost rates per hour.

"Raise the standard rate of every role by 4% from now on."

The assistant works out the new rates per role and shows them before saving. Running projects keep their current rates.

"Add Java, Python and React at Low, Medium and High level in the Tech category."

Nine skills: each skill at each level.

Quick everyday changes

You say

What happens

"Add a skill Power BI at Medium level in Tech."

A new skill in that category.

"Create a role Data Analyst in USD at $120 sales and $60 cost."

A new role with those rates.

"Change the sales rate of Consultant in EUR to €140."

The rate changes for people added to a team from now on.

"Rename the role Projectleider to Project Lead."

The role is renamed everywhere it is used.

"Which roles do we have in euros?"

The assistant lists them with their rates. Nothing changes.

How to add or change skills and roles
  1. Tell your assistant what to add or change. Share a list, rate card or skills matrix if you have one.
  2. Answer its questions. For example which currency, or which level when a skill name exists at more levels.
  3. Check the preview. You see every new or changed skill and role, and for a rate change how many team members use that role.
  4. Approve. Say yes, or click the approve button if your assistant shows one. Up to 50 skills and 50 roles are saved together, or none.

Skills

Setting

Details

Name

Up to 200 characters. Keep the level out of the name.

Level

None, Low, Medium or High. A skill exists once per level: Java at Low and Java at High are two skills.

Category

An existing category, or a new one created in the same request.

Roles

Setting

Details

Name

Up to 200 characters. Renaming a role renames it everywhere it is used.

Currency

Default: your base currency. A role has one currency; the same role in another currency is another role. The currency can't change later.

Sales rate, cost rate

Per hour, in the role's currency. Both required for a new role.

Note: a new rate only applies to people added to a team from now on. Running projects keep their current rates. To raise rates on running projects, see How to increase rates with AI Actions.

Giving people skills and roles is explained in How to invite and manage users with AI Actions.

Verify it worked
  • After saving, the assistant lists the skills and roles that were created or changed.
  • Check them in PSOhub's settings for skills and roles.

Not available

What is not possible

These are done in PSOhub itself:

  • Deleting a skill, category or role.
  • Changing the currency of an existing role. Create the role in the other currency instead.
  • Two skills or roles with the same name (and the same level or currency).
  • Changing rates on running projects through the role. Use a rate increase instead.
Common issues
  • A skill or role is refused as a duplicate. One with the same name already exists at that level or in that currency.
  • Running projects still show the old rate. That's expected: a new role rate only applies to people added to a team from now on. Use a rate increase for running projects.
  • The assistant asks which skill you mean. The name exists at more levels. Say the level.
  • The assistant asks which role you mean. The name exists in more currencies. Say the currency.
Frequently asked questions

Why are there several "Java" skills?

A skill exists once per level, so Java at Low, Medium and High are three skills. A person has one level of each skill.

Does changing a role's rate change my running projects?

No. Running projects keep their rates. Use How to increase rates with AI Actions to raise rates on projects.

Can I give a role to a person here?

No. Assigning roles and skills to people is done when changing users; see How to invite and manage users with AI Actions.
