How to Update a Deal Amount in HubSpot from a Project in PSOhub

Learn how to sync your PSOhub project value with a HubSpot deal to keep deal amounts accurate

Objective

This article explains how to update your HubSpot deal value with your PSOhub project value, ensuring your deal amount reflects the true contract value.

Prerequisites

 Your project was created from a HubSpot deal

 Your project contract is complete with at least one active contract line

 You have Admin, Controller, or Project Manager access in PSOhub

Steps

  1. Open the project linked to your HubSpot deal.
  2. Review the Total project value displayed in the contract totals. This figure is the amount that will be sent to HubSpot.

📌 Note: Not all contract line types contribute to the total project value. Expenses are                    excluded, including Fixed Fee expense lines.

       3.    Click the ellipsis (...) button at the top of the project.

       4.    Select Update deal value.

       5.    Review the confirmation message and click Update.

       6.    Click OK once the update is confirmed.

       7.    In the project properties panel, click Show deal in HubSpot to verify the update.

Result

The Amount field in your HubSpot deal is updated with the total project value from PSOhub. The deal's Activity tab will also log the change with the details of the updated amount.

📌 Note: The HubSpot deal value does not update automatically when your contract                      changes. You must repeat these steps each time you want to push the current project              value to HubSpot.

Troubleshooting

The Update deal value option is not visible
Confirm that the project was created from a HubSpot deal. Projects created manually in PSOhub without a HubSpot deal link will not show this option. Check the project properties for a linked deal.

The deal amount in HubSpot did not change after clicking Update
Verify that your HubSpot integration is active in PSOhub Settings and that the connected HubSpot account has permission to update deal records. Contact your Admin if the connection appears to have been interrupted.

The total project value is lower than expected
Expenses and Fixed Fee expense contract lines are excluded from the total project value. Only Time and Materials and Fixed Fee (non-expense) contract lines are included. See HubSpot deal value: How PSOhub calculates total project value for a full breakdown.

Frequently Asked Questions

Does the deal value sync automatically when the contract changes? No. The sync is manual. You must click Update deal value each time you want to push the current project value to HubSpot.

Can I update the deal value more than once on the same project? Yes. Each time you click Update deal value, PSOhub overwrites the existing deal amount with the current total project value.

Which users can perform this action? Admins, Controllers, and Project Managers can update the HubSpot deal value from a project.
