Budget Template: How to Set Up Your Project Budget Faster

Save time on every project by applying a budget template to build a detailed budget by roles and hours.

Objective

This article explains how to use a project budget template in PSOhub — either during project creation or by importing one into an existing project. Once imported, the template populates your Budget tab with predefined contract lines, roles, and hours, ready for you to adjust and push to your financials.

Prerequisites

You must have Admin, Controller, or Project Manager access in PSOhub

At least one budget template must already be configured in your organization settings.

⚠️ Important: Budget templates are linked to contract templates. A budget template will            only appear as an available option if it has been associated with the contract template          applied to your project.

Option 1: Apply a budget template during project creation

You can select a budget template when creating a new project. This is the fastest way to set up your budget — the template is applied automatically when the project is created.

Steps

  1. Go to Projects and click + New Project.
  2. In the Let's start with your project! dialog, fill in the Project Name and Customer fields.
  3. Click the Contract Template dropdown and select the contract template you want to apply.
  4. Click the Budget Template dropdown and select the budget template you want to apply.
  5. Complete the remaining project fields and click Next Step to continue through the setup.

Option 2: Import a budget template into an existing project

If your project already exists and the Budget tab is empty, you can import a template directly from the Budget tab.

Steps

  1. Open your project and click the Budget tab.
  2. Click Import template in the center of the page, or click Import Template in the top right.
  3. In the Select budget template dialog, click the Available Templates dropdown and select the template you want to apply.
  4. Click Import.

After importing: adjust resources and hours

Once the template is imported, you can edit the budget lines to reflect the specific needs of this project — for example, replacing a role with a named team member, or adjusting hours.

Push your budget to financials

When you are satisfied with your budget, use the Update button to apply the totals to your project's contract lines.

Steps

  1. Click Update in the top right of the Budget tab.
  2. The Update budget/planning dialog opens. Select the updates you want to apply using the toggles.
  3. Click Update.
Option What it does
Fixed Fee Amount Updates the Amount field on fixed fee contract lines in the Financials tab to match the budget total
Contract Line Budget Updates the Budget field on each contract line to match the budget grid totals

⚠️ Important: Any previously set values in the selected fields will be overwritten. If a                     contract line has 0 budgeted hours, PSOhub will set its amount or budget to 0,                            overwriting any manually entered values. Delete any unused budget lines before                        updating to avoid this.

Result

Your project budget is now populated with the contract lines, roles, and hours from the template. The Budget tab reflects the imported structure, and the Financials tab shows the updated Amount and Budget values for each contract line based on your selections in the Update dialog.

Frequently Asked Questions

Why can't I see any budget templates in the dropdown?
Budget templates are linked to contract templates. If no templates appear in the Available Templates dropdown, it means the contract template applied to your project does not have a budget template associated with it. To fix this, go to your organization settings and associate your budget template to the relevant contract template.
