Dear PSOhub user,
With this release, PSOhub introduces Negative Time Entries — a controlled way for admins to book negative hours. It is mainly intended for resources working on two projects for the same customer, so hours can be transferred between them transparently: the correction is visible on the invoice, rather than hidden behind a silent edit. It is not limited to that scenario — a negative entry can be booked on any project, resource, or contract line where a correction is needed.
✨ What's New
Booking Negative Hours via the Time Entry Modal
Admins can now enter a negative value in Total Hours when creating a time entry via the All Hours grid → Log Time or in the Project → Hours → Log Time. Zero is not allowed — the value must be a genuine negative number.
The entry then behaves like any other timesheet entry:
- It flows to Actuals and can be approved and invoiced like a normal entry
- Amounts are calculated as rate × hours, so a negative hours value automatically produces a negative amount — no separate calculation needed
- Once invoiced, the entry becomes fully locked — no further edits or deletes, same as any other invoiced entry
Clear Calendar Display
A saved negative entry appears in purple in the calendar of the resource it is booked on, so corrections are always easy to spot. It always displays as a 1-hour block, regardless of the hours booked, and the date and time can be changed as needed — but only via the Time Entry modal, by an admin. Dragging or resizing the entry directly in the calendar is blocked for everyone.

Non-admin users can open a negative entry, but see a fully read-only version of the modal — no editable fields, no Save or Delete button — wherever the entry is opened from.
Approvals Work as Expected
A PM approver can approve a negative entry just like any other entry, but cannot edit its fields. Only an Admin can both edit and approve.
Activity Log
Creating a negative entry generates a friendly activity log entry, in the same style as other activities in the product — for example: "[Admin] booked -4 hours for [Resource] on [Project] ([date])". Edits to an existing negative entry are not logged separately; only creation is.
⚠️ Where Negative Hours Are Not Allowed
Negative hours are supported only via the Time Entry modal, for admins. All other entry points continue to enforce positive, non-zero hours — for everyone, admins included:
- Timesheet import via Excel — any row with a negative hours value is rejected/flagged; the import will not create a negative entry
- "Log hours" button on a task — this field does not accept a negative value
- Timesheet list (inline entry) and calendar quick-add — negative values are blocked
📌 Note: For negative entries, the Description field is not mandatory, and it can only be edited via the Time Entry modal — direct editing via the timesheet list is blocked, even for admins. Description editing for normal (positive) entries is unchanged.
🎯 Impact
- Transparent corrections — hour transfers between projects appear on the invoice as a visible correction instead of a silent edit, keeping the billing trail honest for you and your customer.
- Controlled access — creation, editing, and deletion are restricted to admins, and everything is captured in the activity log.
- No new workflows to learn — negative entries follow the same approval and invoicing flow as any other timesheet entry, and automatically reduce the invoiced amount.

🔧Improvements
- Service date on QuickBooks Online invoice lines — the service date field on an invoice line is now automatically filled with the invoice date when sending invoices to QuickBooks Online, so your invoice lines arrive complete without manual entry.
- The search bar is back! — search has returned, so you can quickly find what you need again.
🐞 Minor Fixes
- All project files are shown again under the Files tab of a project.
- Changing the selling amount on a Budget Grid line now correctly updates the Margin %.
- Delta Planned now always updates correctly after booking hours.
- Logging hours on a HubSpot ticket no longer shows an error when you log in for the first time that day.
- The Duplicate contract template button is back.
- When hours are booked and saved, you can still switch between Internal and Project type to assign them to another project.
