How to Connect a Project to a Microsoft Teams Channel

Connect a PSOhub project to a Microsoft Teams channel to enable collaboration, alerts, and activity feeds

Objective

This article explains how to connect a PSOhub project to a Microsoft Teams channel. Once connected, you can automatically add project members to the channel, and configure PSOhub to send activity updates and budget alerts directly to Teams.

Prerequisites

Your individual PSOhub account must already be connected to Microsoft Teams. See               Microsoft Teams Integration: How to Connect Your Account in PSOhub

 A project must already exist in PSOhub.

A Project Manager must be assigned to the project. PSOhub uses the Project                                Manager's account to create the Teams channel. If no Project Manager is set, you will            not be able to proceed.

The assigned Project Manager must have rights to create teams and channels in                        Microsoft Teams and to add new members.

Steps

  1. Open the project you want to connect to Microsoft Teams.
  2. Click the ellipsis (...) in the project toolbar.
  3. Click Share to Teams.
  4. The Microsoft Teams dialog will appear. Configure the options for your channel. Use the table below to understand each option:
Option Description
Create a new Teams channel Creates a new channel within an existing team, or a new team entirely, based on your selection.
Connect to an existing Teams channel Links the project to a channel that already exists in Microsoft Teams.
Add project team to Teams Automatically adds all project members to the Teams channel after connecting. Only users with an active Microsoft 365 account can be added. If a project member does not have an active M365 account, an error message will appear for each failed invite.
Send activities to Teams PSOhub will post project activity updates to the channel (for example, new contract lines being added).
Send alerts to Teams PSOhub will post budget alerts to the channel when thresholds are reached.

📌 Note: Activity updates sync to your Teams channel every 2 minutes.

⚠️ Important: Only users with an active Microsoft 365 account can be added to the                        Teams channel automatically. Users without an M365 account will not be added, and              an error message will be shown for each failed invite.

       5.    Click Connect.

Result

The project is now connected to the specified Microsoft Teams channel. Depending on your configuration, project members have been added to the channel and PSOhub will begin sending activity updates and alerts.

You can open the linked Teams channel directly from PSOhub at any time using the shortcut in the More menu.

Opening the Teams channel from PSOhub

Once a project is connected, you can navigate to the Teams channel without leaving PSOhub.

  1. Open the project in PSOhub.
  2. Click the ellipsis (...) in the project toolbar.
  3. Click the Teams channel shortcut. Your Teams channel will open in Microsoft Teams.

Troubleshooting

I cannot see the Share to Teams option in the More menu.
Confirm that your PSOhub account is connected to Microsoft Teams. See Microsoft Teams integration: How to connect your account in PSOhub. If your account is connected and the option is still missing, check with your Admin that the integration is enabled for your organization.

An error appears when PSOhub tries to add project members to Teams.
This occurs when one or more project members do not have an active Microsoft 365 account. PSOhub will display an error message with the email address for each failed invite. Members without M365 accounts must be added to the Teams channel manually.

The project has no Project Manager set and the integration is blocked.
Assign a Project Manager to the project before attempting to connect. Navigate to the project settings and assign a user with the Project Manager role.

Activities and alerts are not appearing in the Teams channel.
Check that the Send activities to Teams and/or Send alerts to Teams options were enabled when you connected the project. If they were not, disconnect and reconnect the project with the correct options selected. Note that activity updates sync every 2 minutes — allow time before checking.

Frequently Asked Questions

Can I connect a project to more than one Teams channel?
This is not confirmed in the current documentation. Validate in PSOhub whether multiple channel connections per project are supported.

Can I change the connected channel after the project is already linked?
You can use the Share to Teams option again to update the connection. Validate in PSOhub whether this replaces the existing connection or creates an additional one.

What types of activity does PSOhub send to Teams?
PSOhub sends project activity updates such as new contract lines being added, as well as budget alerts when configured thresholds are reached. The full list of activity types should be validated in PSOhub.
