How to Create an Expense Report in PSOhub

Learn how to build, filter, and export a custom expenses report to review project costs, reimbursables, and VAT amounts in PSOhub

Objective

This article explains how to create an expense report in PSOhub by filtering expense entries, customizing columns, and exporting the data to Excel for financial review or forecasting.

Prerequisites

Eligible access
        You must have Admin, Controller, or Project Manager access in PSOhub.

Steps

  1. In the main menu, navigate to Time & Expenses > All Expenses.
  2. You can also navigate to the Expenses tab of a project for an expense report at the project level. The steps are the same.
  3. Use the filters at the top of the grid to narrow the data to the expense entries you want to report on.
  4. Click Edit Columns in the top-right corner to select which columns to display and set their order.

⚠️ Important: The column order and visibility you set here directly affects your Excel                      export. Columns that are hidden will not appear in the export, and the order of                          columns in the export matches the order shown on screen. Set your preferred column            layout before exporting to ensure consistency.

        5.   Click Export.

        6.   Open the downloaded file from your browser to view the report in Excel.

Working with Excel Functions

When exporting expenses from PSOhub, certain fields are formatted as text by default, which prevents Excel formulas such as SUM() or AVERAGE() from working directly on them. These fields include:

  • Amount
  • Amount ex VAT
  • VAT Amount Base
  • Total Amount Base

To perform calculations in Excel without manually converting data types, use the following numeric-formatted fields available in the export:

VAT Amount Base (Excel) VAT Amount Base
Total amount base (Excel) Total Amount Base

Result

Your expense report is downloaded as an Excel file containing the filtered expense entries and selected columns. Use the (Excel) numeric fields for accurate calculations across amounts, VAT, and costs.
