This article explains how to create a utilization report in PSOhub to measure how effectively your resources are spending their working hours against defined targets. Use this report to identify underperformance, support capacity planning, and drive more accurate project forecasting.

Steps
Create a new utilization report
- Navigate to Resource Management in the main menu and select Utilization Report.
- Click Create..The New Utilization Report window opens.
- Complete the report fields as needed, including the period, business units or roles.
📌Note: If a resource has multiple roles, PSOhub displays their combined overall utilization — not the utilization for a single selected role.
Open and review the report
- Click on the report name to open it. The report opens and displays a bar chart showing monthly utilization for the selected business unit(s). A horizontal line indicates the utilization target percentage configured for the business unit.
- Hover over any month's bar to view the exact utilization percentage for that period.
💡 Tip: Months where bars fall below the target line indicate periods of underutilization. Months above the line may indicate overbooking.
Drill down to individual resources
- Click on the business unit name in the chart to expand the view and see individual performance scorecards. Each resource card displays their personal utilization target alongside their planned and actual performance.
Switch between report views
- Click the Actuals tab to view utilization based on time logged, rather than planned hours.
- Click the Resources tab to see a full breakdown of all resources in the selected business unit(s), showing planned versus actual hours and percentages by month.
⚠️ Important: Non-billable hours (draft projects, internal projects, absences, and holidays) are excluded from the utilization calculation by default. If you included these in your report setup, you can hide them from the chart by clicking on the relevant item in the chart legend to grey it out. This gives a true reflection of billable utilization.
Result
Your utilization report is generated and saved. You can now review planned and actual resource utilization across business units, identify resources that are over- or underperforming against their targets, and use the data to inform future resource planning and project scheduling decisions.
The report reflects a snapshot of your organization's data at the time it was created. Run a new report to capture updated figures.
Troubleshooting
The utilization target line is not appearing in the chart.
Check that a utilization target percentage has been configured for the relevant business unit in Settings > Business Units. Without a configured target, no target line will appear.
A resource's utilization looks incorrect when filtered by role.
PSOhub always shows a resource's combined utilization across all roles. Role filtering narrows which resources appear in the report, but does not isolate a single role's contribution to utilization.
Non-billable hours are affecting the chart results.
Use the chart legend to click on non-billable categories (draft, internal, absence, holiday) to hide them from the view. This removes their visual impact without changing the underlying data.

Utilization measures the percentage of a resource's available working hours that are spent on billable project work. It is calculated by dividing billable hours worked by total hours available. For example, a resource who books 34 billable hours out of a 40-hour week has a utilization rate of 85%.
Why is utilization important?
Tracking utilization helps you prevent both underperformance and burnout, improve forecasting accuracy, and ensure the right resources are assigned to the right projects at the right time.
Can I include non-billable hours in the report?
Yes. You can include draft projects, internal projects, absences, and holidays when creating the report. These are shown as additional data points but are not factored into the utilization calculation itself.
How often should I generate a new report?
Because project data changes continuously, each report represents a snapshot at the time of creation. Generate a new report whenever you need current utilization figures — for example, at the start of each month or before a resource planning session.
