How to Create Tasks & Checklist Items in PSOhub

Learn how to create a task, add checklist items, configure task properties and share a task as a URL in PSOhub

Objective

This article explains how to create tasks in a project plan or from Tasks in PSOhub, configure all task fields, add checklist items, attach notes and files, and share a task as a URL.

Prerequisites

Eligible access
        You must have Admin or Project Manager access in PSOhub.

Pre-existing project with a task list
        To create tasks in a project plan, a project with at least one task list must already exist.

Team members added to project
        To assign tasks to project members, the team members must already be added to the            project.

How to Create a Task from a Project Plan

Steps

  1. Open the project in PSOhub and click the Tasks tab.

  2. Click the + button on a task list to create a new task.

  3. Enter the name of the task and press Enter.

  4. Click the task name to open its properties. 

 💡 Tip: You can also enter a few details for the task directly on the Tasks tab, including                 Assigned To, Start Date and Due Date.

How to Create a Task from Tasks

Steps

  1. Click Tasks in the main menu and select My Tasks or All Tasks.

  2. Click +Add Task.

  3. Complete the task fields in the dialog box as described below. Click Save when finished.

Task Information & General Tab

Field

Description

Task name

The name of the task. Must not contain an apostrophe character (').

Assigned to 

Assign the task to one or more project team members. Team members must already be added to the project via the Team tab.

Assign to role

Assign a project role to the task when the specific resource is not yet confirmed.

Start date

The planned start date of the task.

Due date

The deadline for the task. Populated automatically if a duration is entered. If no duration is set, enter the due date here and PSOhub will calculate the duration.

Description

An optional description providing additional context for the task. 

Status

Defaults to To do. Updated by assigned team members as work progresses until the task is completed.

Priority

The priority level of the task: N/A, Low, Medium, or High.

Task List 

The Task List the task belongs to. 

  Effort                      (Hours) 

  The estimated hours required to complete the task. Effort is             independent of start and due dates. For example, a task                   spanning 10 working days may only require 8 hours of effort.           Effort appears in the Gantt chart's Effort column and supports     budget and resource planning. 

 Used   (Hours) 

Read-only. Hours booked against this task. If hours booked exceed the effort estimate, the value appears in red. 

 Remaining   (Hours)

 Read-only. Reflects Effort minus Used hours.

   Tags 

   Keywords applied to the task to make it searchable. Tags must       first be configured in Settings > Organization before you can         apply them to a task.

 Dependent on 

   Identifies a task that must be completed before this task can           begin. Time cannot be logged on a dependent task until its               predecessor is complete. 

Milestone

   Check this box to mark the task as a milestone. You can also           configure invoicing to be triggered when the milestone is                   reached. 

Recurring

   If toggled on, PSOhub automatically recreates the same task         using the due date as the new start date. 

Hide for guests

   Toggle on to hide the task from guests with access to the                   project.

How to Add Checklist Items

Steps

  1. Find Checklist underneath the description text box for the task.

  2. Click +Add a checklist item and type the name of the sub-task.

  3. Enter the start date and due date. Assign a resource if applicable.
  4. Click Save when finished.

How to Add Notes and Files

Steps

  1. Use the Activity tab in the task to add context, attachments, or links to the task at any point during the project:

  • Notes — Click Add note to save a note. The author's name and date are recorded automatically. You can also mention team members in a note.

  • Files — Click Add link to attach files directly on the task.

How to Share a Task via URL

Steps

  1. Click on the task in a project, My Tasks or All Tasks to open the Task tab.
  2. In the upper right corner of the Task tab, click the link icon
  3. The Task Share URL dialog box opens where you can press Copy to access the link. 

⚠️ Important: The task URL only works for team members of the project plan and Admin            users. Users outside the project team will not be able to access the task via the link.

Result

The task is created and appears in the task list within the plan. Checklist items, notes, and files are immediately visible to all team members with access to the plan. The task URL can be shared for direct navigation to the task from anywhere in PSOhub.
