Import Companies: Preparing Your Import File

Learn how to structure your company import file and understand each field before uploading to PSOhub.

This article describes every field in the PSOhub company import template. Use it to prepare your Excel file correctly before uploading, and to understand how each field is validated on import.

Prerequisites

You must have Admin or Controller access in PSOhub.

Download the Template

Before you can prepare your import file, you need the official PSOhub template. The template contains the correct column structure that PSOhub expects on import — using any other file format or column order will cause the import to fail.

⚠️ Important: Always use the template downloaded from PSOhub. Do not rename,                        remove, or reorder any columns. If you need a fresh copy, download the template                    again rather than modifying an existing file.

Prepare Your File

Before uploading your file, set up the import company template correctly.

Fill in one row per company. The RecordCount column is for your reference only and is not imported into PSOhub. Assign a number to each row.

The Name field on the import file is the unique identifier for your companies. PSOhub checks to see if a company exists with the same name. If a match is found, the existing company is updated rather than duplicated.

💡 Tip: Check your existing company records in PSOhub before importing. If a company              name in your file differs from an existing record by even one character, a duplicate                  company will be created.

Understanding the Import Fields

The table below describes every column in the PSOhub company import template, including the expected format, accepted values, and any validation rules that apply on import.

Field Description Type / Value Notes
RecordCount A row number for your reference. Integer (1, 2, 3…) Required. Not imported into PSOhub. Used for your reference only. Each company must have a unique number.
Name The name of the company. Text Required. Used by PSOhub to detect existing records. If a match is found, the existing company is updated rather than duplicated. Must be unique per row.
CompanyRegistrationCode The company's official registration number. Text or number Optional. Enter the registration code as issued by the relevant authority.
TaxCode The company's VAT or tax identification number. Text or number Optional. Enter the tax code as it appears in your records.
Address The street name and number of the company's primary address. Text Optional.
PostalCode The postal or ZIP code of the company's address. Text Optional.
City The city where the company is located. Text Optional.
Country The country where the company is located. Text Optional. Enter the full country name as it appears in PSOhub.
Phonenumber The company's main phone number. Numbers only Optional. Do not include spaces, dashes, or special characters.

Frequently Asked Questions

What happens if a company name in my file already exists in PSOhub?
PSOhub will update the existing company record rather than create a duplicate. Make sure the name in your file matches the existing record exactly, including capitalization and spacing.

My company was imported but the address is missing. Why?
Address fields are optional. If any address field was left blank in your import file, PSOhub will create the company without an address. You can add or update the address manually after import.

The import failed after I uploaded my file. What should I check?
Confirm that the column headers in your file match the original template exactly. Adding, removing, or renaming columns will cause the import to fail. Re-download the template and copy your data into a fresh copy if needed.

Can I import companies in a language other than English?
Company names and address fields support free text, so non-English characters should import correctly. Validate this in PSOhub before importing a large file.
