Import Task Templates: How to Import From an Excel File

Learn how to bulk import reusable task templates into PSOhub using the Excel import template

Objective

This article explains how to import task templates into PSOhub in bulk using the Excel import template. Use this method to set up a large number of task templates at once, or to bring existing templates across from another project management tool when migrating to PSOhub.

Prerequisites

You must have Admin access in PSOhub.

Your task template import file must be prepared and ready to upload.

Any contract templates referenced in your import file must already exist in PSOhub.

Any currencies referenced in your import file must already be configured in your PSOhub account.

Steps

  1. Click the gear icon in the top-right corner to open Settings.
  2. In the left-hand menu, click Templates, then select Task Templates.
  3. In the top-right corner, click Import.
  4. Click Click here to upload your .xlsx file and select your prepared import file. If there are any problems with the file, PSOhub will display an error message.
  5. PSOhub maps the data from your file to the relevant import fields. Review the data carefully for accuracy.
  6. If any rows are mapped incorrectly, an error appears in the Error column. To fix errors, click Delete selected or Delete all, correct your import file, and re-upload it.
  7. Once the data is correct, click Create or update tasks for imported data.
  8. In the next window, click Create new task templates.
  9. Wait for the import to complete. Depending on the size of your file, this may take a few moments.
  10. When the success message appears, navigate back to the Task Templates screen to review your imported task templates.

💡 Tip: Before importing your full file, test with a small selection first — one or two complete task templates. This lets you verify that the structure imports correctly before committing to the full dataset.

Result

Your task templates are created in PSOhub and appear in the Task Templates list, each with its associated tasklists, tasks, milestones, and checklist items.

Importing a task template creates a reusable structure — it does not add tasks to a project on its own. To put these tasks onto a project, apply the task template to a project after creating it.

FAQs and Troubleshooting

I imported a task template but my project has no tasks. Why?
Importing a task template creates a reusable template only. To add the tasks to a project, you must apply the task template to the project after creating it. See How to import tasks into a project in PSOhub.

The import failed after I uploaded my file. What should I check?
Confirm that the column headers in your file match the original template exactly. Do not rename, remove, or reorder any columns. Re-download the template and copy your data into a fresh copy if needed.

A task was not assigned to the right person. Why?
The email address in the AssignedTo column must match an existing PSOhub user exactly. To assign a task to more than one person, separate the email addresses with a comma.

Why do the column names say "PlanTemplate" when the feature is called Task Templates?
Task templates were previously called plan templates. The import file still uses the older column names and will be updated in a future release. Use the column names exactly as they appear in the current template.
