How to Create a Project from HubSpot Using a Different Currency in PSOhub

Learn how to promote a HubSpot deal in a non-base currency to a PSOhub project

Objective

This article explains how to create a PSOhub project from a HubSpot deal that uses a currency different from your organization's base currency, so that quotes, contracts, time tracking, expenses, and invoices are all managed in the correct currency.

Prerequisites

You must have Admin, Controller, or Project Manager access in PSOhub.

PSOhub must already be connected to your HubSpot account.

The non-base currency must already be configured in PSOhub. See How to Create                   Currencies and Change Their Exchange Rate in PSOhub for details.

HubSpot must be configured to support multiple currencies.

Step 1: Create a Deal in HubSpot with the Correct Currency

  1. In HubSpot, create a new deal.
  2. Set the Amount and Currency fields to the required currency (for example, Swedish Krona — SEK).
  3. Complete the deal record and save. The deal amount is displayed in the selected currency on the deal record.

Step 2: Create a Project in PSOhub Linked to the HubSpot Deal

  1. In PSOhub, navigate to Projects and click + Create project
  2. Select HubSpot in the Create Project dialog box.
  3. Select the deal you created in HubSpot. You can scroll through the list or type the first few letters of the deal name to filter results.
  4. Enter the Project Name and select a contract template from the Contract Template dropdown.
  5. In the Currency field, confirm the currency matches the deal currency in HubSpot (for example, SEK).
  6. Complete the required fields and move onto the next steps.

📌 Note: When creating a project in a non-base currency, team members and their roles            cannot be selected during setup. You must add team members and define their rates in          the project currency manually after the project has been created.

       7.    Click Create Project to complete the project setup.

Step 5: Update Contract Line Values

Once the project is created, the selected currency is reflected in the Currency, Deal amount, Total project value, and all contract line fields.

If your contract template contained pre-defined values, these are brought across as absolute values from the template — not converted amounts. You will need to update them to match the agreed amounts signed off with your client.

  1. Open the project and navigate to the Financials tab.
  2. Click each contract line to update the Amount and Budget values to the agreed figures in the project currency.
  3. Click Save on each line.

Step 6: Add Team Members

After the project is created, add your team members and assign their roles with rates defined in the project currency.

  1. Navigate to the Team tab of the project.
  2. Click Add Member(s) and select your team members.
  3. Confirm that the selling and cost rates displayed are in the project currency.
  4. Click Save.

Result

Your project is created in the non-base currency selected from the HubSpot deal. All time entries, expenses, and invoices generated for this project will be recorded and displayed in that currency, keeping your financials accurate for international engagements.
