Objective
This article explains how to add individual or multiple team members to a project, define their selling and cost rates, manage their active status, and remove them when needed.
Prerequisites
You must have Admin, Controller, or Project Manager access in PSOhub.
The project must already exist in PSOhub.
Team members must already be created as users in PSOhub.
Introduction
A user must be added as a team member on a project before they can be selected for budgeting, resource planning, time and expense booking, or task assignment.
At the project level, the following combinations are supported:
- Multiple members with the same role on the same project
- One person with multiple roles on the same project
How to Add Team Member(s)
Steps
- Open the project and click the Team tab. Beneath Team & Rates, the Team view is selected by default.
- Click Add Member(s).
- Use the following filters to refine the list of available members:
| Filter | Description |
|---|---|
| Resource | Search and filter by resource name. |
| Roles | Filter the member list by role to narrow your selection. |
| Business Unit | By default, PSOhub filters the member list to the business unit of the project. Select a different business unit or clear the filter using the dropdown arrow if needed. |
4. Select the team member with the corresponding role for the project. You can add additional team members by simply going back to the Resource filter and selecting more resources.
5. Click Confirm & Set Rates.
6. Overwrite the Selling rate and/or Cost rate if the project rate differs from the standard rate.
7. Configure the following options as needed for each of the team members:
| Option | Description |
|---|---|
| Backup PM | Select if you want to designate the resource as a Backup Project Manager. |
| Alerts | When checked, this team member receives an email and/or notification when the used budget exceeds the percentage threshold defined on the contract line. Only relevant if budget alerts are configured. |
8. Click Confirm & Add Resources. Click Close when complete.
Manage Active Status
If a team member leaves a project but has already booked time or expenses against it, they cannot be removed — only deactivated.
To deactivate a team member:
- Click on the team member's name in the Team tab.
- In the Member pane, toggle Active to OFF.
- Click Save.
The team member will no longer have access to the project for time or expense entry, but their existing bookings are preserved.
How to Remove a Team Member
Steps
Team members can be removed at any stage of a project, provided they have not yet booked any time or expenses against it.
- Click the team member's name in the Team tab.
- Click Delete.
- Click Proceed to confirm.
📌 Note: If a team member has already booked entries against the project, the Delete option is not available. Deactivate the member instead — see Manage Active Status above.
Result
Team members are added to the project with their assigned role and rates. Active members can book time and expenses, be assigned to tasks, and be included in resource planning. Deactivated members retain their historical entries but lose access to the project going forward.
