QuickBooks Online Integration: How to Map Contract Lines to Classes

Map PSOhub contract lines to QuickBooks Online classes so invoices are automatically categorized when pushed to QuickBooks

Objective

This article explains how to retrieve QuickBooks Online classes into PSOhub and assign them to contract lines on contract templates, projects, and quotes.

Prerequisites

QuickBooks Online must already be connected to PSOhub. See QuickBooks Online                   Integration: How to Connect PSOhub to QuickBooks Online.

Classes must already be set up and active in your QuickBooks Online account before                you retrieve them in PSOhub.

You must have Admin access in PSOhub.

Steps

Retrieve Classes From QuickBooks Online

Before you can assign classes in PSOhub, you need to retrieve them from your connected QuickBooks account.

  1. Go to Settings (gear icon) in the left navigation.
  2. Click Financials.
  3. Select Transactions & Tracking.
  4. Under Transaction classes (QuickBooks), click Retrieve.

PSOhub will pull all active classes from your connected QuickBooks account. They will appear in the list once retrieved.

📌 Note: Classes identified as sub-classes in QuickBooks will show with the Is sub-class                option checked.

⚠️ Important: If a class is made inactive in QuickBooks, it will not be automatically                          removed from PSOhub. You must delete it manually in PSOhub.

📌 Note: If a class is renamed in QuickBooks, click Retrieve again. PSOhub will detect the            rename and update the class name in your list automatically.

Assign a Class on a Contract Template

Assigning a class at the contract template level means every project created from that template will inherit the mapping automatically.

  1. Go to Settings (gear icon) in the left navigation.

  2. Click Templates, then select Contract Templates.

  3. Select the contract template you want to update.

  4. Click on the contract line you want to assign a class to. The Contract Template Line panel will open.

  5. In the Billing section on the right, click the Transaction class dropdown.

  6. Select the class you want to link to this contract line.

  7. Click Save.

💡 Tip: When this contract template is applied to a new project, the contract line will                      automatically be populated with the linked class.

Assign a Class to a Contract Line on a Project

You can also assign or override a class on an individual contract line within a specific project.

  1. Go to Projects in the main navigation.

  2. Select the project you want to update.

  3. Open the Contract tab.

  4. Click the contract line you want to assign a class to. The Edit line panel will open.

  5. In the Billing section, click the Transaction class dropdown.

  6.  Select the class you want to assign.

  7.  Click Save.

Assign a Class to a Contract Line on a Quote

You can assign classes to contract lines on quotes in the same way.

  1. Go to Quotes in the main navigation.

  2. Select the quote you want to update.

  3. Open the Contract tab.

  4. Click the contract line you want to assign a class to. The Edit line panel will open.

  5. In the Billing section, click the Transaction class dropdown.

  6. Select the class you want to assign.

  7. Click Save.

Result

The selected classes are now linked to your contract lines. When an invoice is approved and sent to QuickBooks Online from PSOhub, the assigned classes will be automatically applied to the corresponding invoice lines in QuickBooks.
