Introduction
PSOhub invoicing connects your project delivery directly to your billing. Every hour logged, expense submitted, and fixed fee agreed is captured in your project contracts and can be turned into an invoice without manual data entry.
Invoicing in PSOhub works at the contract line level. Each contract line on a project can be set to invoice manually or automatically, depending on how your engagement is structured. Because this is configured per line, you can mix invoicing methods within a single project.

Manual Invoicing
Manual invoicing gives you full control. You choose when to invoice, how much to invoice, and which contract lines to include. You can invoice one line at a time or combine multiple lines on a single invoice.
Manual invoicing is supported for T&M, Fixed Fee, Expense, and Product contract lines.

Automatic Invoicing
Automatic invoicing lets PSOhub generate invoices based on rules you configure at the contract line level. This removes the need to manually trigger invoices each billing cycle and is available for Fixed Fee, T&M, and Product contract lines.
There are six automatic invoicing methods:

| 100% used | Fixed Fee | Capped engagements where billing triggers at completion |

| Monthly T&M invoicing | T&M | Time-and-materials projects where you bill all logged hours monthly |
| Retainers | Retainer | Clients on a pre-agreed monthly fee with actuals tracked separately |
| Milestone invoicing | Fixed Fee | Project-based billing tied to delivery milestones |
| Recurring Products | Product | Software subscriptions, licenses, or any product billed on a recurring basis |

Creating and Managing Invoices
Once your invoicing method is configured, you can create, review, and manage invoices from your project or from the Invoices module.
From the Invoices module, you get a full view of all invoices across all projects and can create invoices without navigating into a project. This is the recommended starting point for Controllers managing invoicing at scale.
From inside a project, you can invoice individual contract lines directly from the contract view — useful for Project Managers who handle invoicing project by project as work is delivered.
When creating an invoice, you can include a single contract line or combine multiple lines on one invoice. T&M and Fixed Fee lines can be invoiced separately or together.
Before invoicing, confirm the invoice detail level on your project. Summary shows a single line per contract line on the invoice PDF; Detailed breaks down individual time entries, rates, and descriptions. This setting is configured in the general information of your project.

Approve, Send and Track Invoice Status
All invoices in PSOhub start as drafts. While an invoice is in draft, you can still edit, delete, or adjust it before it reaches your client. Once you are satisfied, you approve the invoice and send it directly from PSOhub.
Once an invoice has been approved or sent, it can no longer be deleted. If you need to reverse or correct it, you can void it or generate a credit note instead — either for the full amount or a partial amount.
PSOhub also tracks overdue invoices automatically. When an invoice passes its expiration date without being marked as paid, it is flagged in your Invoices overview so you can follow up with the client. You can mark an invoice as paid manually once payment is received, which keeps your project financials and reporting accurate.

Connect Your Accounting System
PSOhub integrates with leading accounting platforms so invoices can be pushed automatically to your financial system. When a financial integration is active, approving an invoice in PSOhub also pushes it to your accounting system. The exact behavior depends on your integration settings, so it is worth reviewing these before you approve for the first time.
