Project Stakeholders: How to Import Additional Invoice Contacts in PSOhub

Learn how to add contacts from other companies to your project and assign them as invoice recipients in PSOhub

Objective

This article explains how to import project stakeholders in PSOhub and configure them as primary, CC, or BCC contacts for invoicing.

Prerequisites

You must have Admin or Controller access in PSOhub.

Your project must already exist and be active.

At least one CRM or financial software integration must be configured (HubSpot,                      Salesforce, Xero, Exact Online, or QuickBooks Online), or contacts must already exist            in PSOhub.

Steps

Navigate to the Stakeholders Tab

  1. Open your project in PSOhub.
  2. Click the Team tab.
  3. Click the Stakeholders tab.

📌 Note: The Team tab also shows your current invoice contact in the right-hand panel                under Invoice Contact.

Add Stakeholders

  1. Click Add Stakeholder(s).
  2.  In the Search or Import stakeholders into PSOhub window, select the source you want to import contacts from. 

Available sources depend on your connected integrations. You can import from:

  • HubSpot (CRM) — search and import contacts from HubSpot as stakeholders
  • PSOhub (Project Management) — search and add existing contacts already stored in PSOhub

 ⚠️ Important: Importing stakeholders is supported from HubSpot, Salesforce, Xero,                     Exact Online, and QuickBooks Online. Only the integrations active in your                                     organization will appear as options. 

Search for Contacts

  1. In the search window, enter an email address to find a contact and click Search.
  2.  Review the results. Contacts from multiple companies can appear in a single search. 

 📌 Note: If a contact already exists in PSOhub, an indicator appears in the Exists in                         PSOhub column. Importing an existing contact does not create a duplicate — PSOhub            merges the contact IDs automatically to prevent data corruption. 

        3. Select the checkboxes next to the contacts you want to import. You can search multiple times                 before importing. 

 💡 Tip: Search for additional contacts before clicking Import to add them all at once. 

        4. Click Import.

The imported contacts now appear in the Team tab of your project.

Assign Roles and Invoicing Preferences

  1. In the Team tab, click the Stakeholders view.
  2. Select the stakeholder contact.
  3. In the Role dropdown, select the stakeholder's role in this project (for example: Budget Holder, CEO, Champion, or Legal).

📌 Note: Stakeholder roles can be pre-configured in Settings > Project Settings.

       4. In the Invoicing dropdown, select one of the following:

Option Description
Primary invoice contact Replaces the existing invoice contact for this project. Only one primary contact is allowed.
CC Receives a copy of the emailed invoice. Multiple contacts can be added as CC.
BCC Receives a blind copy of the emailed invoice. Multiple contacts can be added as BCC.

      5. Click Save.

The primary stakeholder now appears in bold in the Stakeholders view and is shown as the Invoice Contact in the project's right-hand panel.

📌 Note: Stakeholders can be removed from the project at any time by clicking Remove               as stakeholder in the stakeholder's settings window.

Result

Stakeholders are added to your project and assigned as invoice recipients. When you generate and send an invoice, PSOhub applies the primary stakeholder's email and company address instead of the project's default customer contact details.

CC and BCC stakeholders receive the invoice by email as configured.
