Invoice General Information: What You Can View & Edit on a PSOhub Invoice

Understand the fields available in the general information section of an invoice in PSOhub and how to modify them

Objective

Understand what information is displayed in the general section of a PSOhub invoice, what each field means, and which fields can be modified before the invoice is approved.

Introduction

Every invoice in PSOhub has a general information section located in the left-hand pane of the invoice which covers the invoice's own properties. Customer information is located in the right-hand pane and covers the billing details for your client.

Most fields in these sections can be edited while the invoice is at Draft or Approved stage. Once an invoice is sent, these fields become read-only.

Invoice Properties

The following fields appear in the left-hand pane:

Field Description
Name The name displayed at the top of the invoice properties. By default, this is the project name, but it can be overwritten with a custom name specific to this invoice.
Invoice Number Displays Draft until the invoice is approved. Once approved, PSOhub generates an invoice number automatically based on your organization's Invoice settings.
Invoice Date The date the invoice was created. This can be overwritten if needed.
Status Status of the invoice: Draft, Sent or Approved.
General

Currency - Displays the selected currency of the invoice.


Accounting invoice number - If PSOhub is integrated with a financial back-end solution, this field displays the invoice number generated in your financial system.

Invoice detail level - Determines how much detail is shown at the contract line level. Summary adds the number of hours per role per person. Detailed displays each individual time and expense entry.

PO/Reference - A reference identifier for the invoice, also defined in the project's general information. This can be overwritten and can be used for a PO number, SOW number, or customer reference number.

Dates

Expiration date - The payment due date for the invoice. This is set at organization level in Invoice settings or overwritten at project level using the Due days invoice field in the project properties.

Date from - The beginning of the invoice period selected when the invoice was created.

Date until - The end of the invoice period selected when the invoice was created.

Date sent - The date the invoice was sent to the customer.

Date paid - The date the invoice was paid by the customer.

 

📌 Note: The Invoice detail level cannot be changed once the invoice has been                                generated. If you need to change it, delete the invoice, update the detail level setting              on the project page, and regenerate the invoice. This is only possible while the invoice            is still at Draft stage.

Customer Information

The following fields appear in the right-hand pane of the invoice overview:

Field Description
Customer Customer name and brand logo (if applicable).
Project Project name and number.
Invoice Contact Name and contact information of the person responsible for paying invoices.

   Activities

   Includes all activities associated with the invoice. Send an Email, make a Note,         initiate a Call and schedule a Meeting within this section to automatically tie the       activity to the invoice.

How to Edit the Invoice Properties

The fields below can only be modified while the invoice is at Draft or Approved stage.

  1. Open the invoice in PSOhub.
  2. In the left-hand pane, click Edit (pencil icon).
  3. Update the relevant fields.
  4. Click Save.
