Introduction

In PSOhub, every project has a primary Project Manager responsible for overseeing delivery, managing the team, and maintaining financial control. However, projects often require coverage across teams, time zones, or periods of absence.

The Backup Project Manager role addresses this by allowing you to assign one or more secondary project managers to a project. Backup Project Managers have the same permissions as the primary Project Manager and can act on the project in the same capacity.

This article explains what the Backup Project Manager role is, which users are eligible, and what they can do once assigned.

What is a Project Manager?

A Backup Project Manager is a team member assigned to a project who has the same permissions and capabilities as the primary Project Manager. They are not a separate access level — they are a project-level designation applied to an existing team member.

A project can have more than one Backup Project Manager. Each Backup Project Manager is identified in the Team tab of the project by a filled ⭐ icon in the Backup PM column.

Who can be assigned as a Backup Project Manager?

A team member must meet two conditions to be eligible:

  1. They must already be added to the project as a team member
  2. They must have one of the following access levels: Admin, Controller, Project Manager

If a team member does not meet these conditions, the Backup PM option will not display.

What can a Backup Project Manager do?

Once assigned, a Backup Project Manager has the same capabilities as the primary Project Manager on that project. This includes:

Project and team management

  • Edit project details such as name, type, dates, company, contact, and invoicing settings
  • Add team members to the project
  • Book time and expense entries on behalf of other team members

Planning and work management

  • Plan hours for team members using Resource Planning and Task Effort
  • Set up plans, task lists, and tasks
  • Access Task Management for the project

Financials and reporting

  • Set up project financials, including a Detailed Budget and budget templates
  • View Project Planning, the Project Cockpit report, and the Project Dashboard
  • Raise invoices for the project

 📌 Note: Financial and reporting capabilities only apply to Admins, Controllers and                         Project Managers with financial access. They do not apply to Project Manager Basic               users.

How Backup Project Managers appear in the project

Backup Project Managers are visible in the Team tab of the project. Team members assigned as Backup Project Managers display a filled ⭐ icon in the Backup PM column. Team members who are eligible but not yet assigned display an empty checkbox in that column.
