How to Track Non-Billable Hours in PSOhub

Objective

This article explains how to create a dedicated contract line in PSOhub to track non-billable hours against a project or contract template, without those hours generating any invoiceable value.

Prerequisites

Eligible access
You must have Admin, Controller, or Project Manager access in PSOhub.

Project or contract template needed
A project or contract template must already exist in PSOhub.

Steps

Open the project in the Financials tab or open the contract template, which can be found under Settings > Templates > Contract Templates.
Click the + button to add a contract line in the corresponding contract group.
Select Fixed fee from the pop-up menu. The Contract Line dialogue box opens.
In the Name field, enter a descriptive name for the non-billable line, i.e. Non-billable.
Set the Amount, Sales Budget and Budget Costs fields to 0.
Click Save.

📌 Note: Setting the Amount to 0 indicates that hours logged against this line will not be invoiced. Time can still be booked and reported against this contract line; it simply carries no billable value.

Result

The non-billable contract line is added to the project contract or contract template. Team members can log time against this line for any non-billable activity. The hours will appear in your project reporting and dashboards but will not generate any invoiceable amount.

This method can be applied to any activity in your project, including tasks, and can be set up in a contract template to apply non-billable tracking consistently across all future projects.

💡 Tip: Consider adding a non-billable line to your standard contract templates so it is available on every project without needing to be created manually each time.
