How to Build a Detailed Budget by Role and Resource in PSOhub
Learn how to build a detailed project budget by adding contract lines, assigning roles and resources, and pushing your budget to resource planning and financials

Objective
This article explains how to build a detailed budget by role and resource in PSOhub using the Budget tab. By the end, you will have a working budget linked to your contract lines, with hours and totals pushed to your financials and resource planning.
Prerequisites
You must have Admin, Controller or Project Manager access in PSOhub
The project must already exist and have contract lines configured in the Financials tab
At least one project role must be configured in your Organization settings
Set Up Your Budget
Steps

Open your project and click the Budget tab.

Click + Add Contract Line in the top right of the Budget page.

In the Add Contractline dialog, click the Contract Lines dropdown. A list of available contract lines from your project appears.

Select the contract lines you want to include in your budget. You can select multiple lines at once.

Click Add.

Each selected contract line now appears as a section in the budget.
📌 Note: Only contract lines set to Fixed Fee or Time & Materials are available for budgeting here. Expense lines are excluded. For expense and product lines, use lump- sum budgeting directly on the contract line in the Financials tab.
Add Resources, Roles and Hours

Under the contract line you want to budget, click + Add resource or role.

The Add resource or role dialog opens. Fill in the fields using the table below as a guide.
Field Description Available project members Select a team member already added to the project's Team tab. Other available resources (select a role first) Optional. Add a resource from your organization who is not yet a project member. Select a role first to enable this field. Project role Select the role to apply to this budget line. The role determines the selling rate and cost rate used. Description Optional. Add a note to describe the purpose of this budget line. -
Click Save.
- Repeat steps 1-3 to add more resource or role lines under the same contract line, or under other contract lines.
- In the Hours column of a budget line, enter the number of hours budgeted for that resource or role for the full duration of the project.
💡 Tip: If the selected resource or role is not yet a project member, PSOhub will automatically create a project member record when you save.
PSOhub automatically calculates the Total (Hours × Rate) and Total Cost (Hours × Cost Rate) and updates the Margin percentage. The Budget Totals row at the top of the page reflects the combined totals across all contract lines.
💡 Tip: If the rates shown in the budget do not reflect your current pricing for the current project, go to the Team tab, click the relevant member or role row, and update the Selling Rate and/or Cost Rate fields. Changes are automatically reflected in the budget.
Update Your Financials and Planning
Once your budget is complete, use the Update button to apply it to your project's financials and resource planning.
Steps

Click Update in the top right of the Budget page.

The Update budget/planning dialog opens. Select the updates you want to apply using the toggles.
Option What it does Resource Planning Pushes budgeted hours to the Resource Planning tab for each contract line and resource. Fixed Fee Amount Updates the Amount field on fixed fee contract lines in the Financials tab to match the budget total. Contract Line Budget Updates the Budget field on each contract line to match the budget grid totals. -
Click Update.
PSOhub applies the selected updates. The Financials tab now shows the updated Amount and Budget values for each contract line.
⚠️ Important: Any previously set values in the selected fields will be overwritten. If a contract line has 0 budgeted hours, PSOhub will set its amount or budget to 0, overwriting any manually entered values. Delete unused budget lines before updating to avoid this.
Result
Your project budget is now configured with hours, roles, and resources per contract line. The budget totals are reflected in your project financials, and — if selected — resource planning hours have been pushed to the Resource Planning tab.
