Introduction

Roles and rates are a foundational part of how PSOhub connects the people doing the work to the financial performance of your projects. Every time entry in PSOhub is linked to a role, and every role carries a selling rate and a cost rate.

This means that the moment a team member logs time, PSOhub will calculate both the billable value of that work and the internal cost — giving you real-time visibility into project profitability without any manual calculation.

Understanding how roles and rates are structured helps you set up your system correctly from the start and ensures your project financials reflect the true value of your team's work.

What is a Role?

A role in PSOhub represents a function or job type within your organization — for example, Project Manager, Senior Consultant, or Developer.

Roles serve two purposes in PSOhub:

  • They are required for time entry. Every time entry must be linked to a role, so PSOhub can apply the correct rates.
  • They define the default rates used to calculate billable revenue and internal cost across your projects.

Each user in PSOhub is assigned one or more roles. A user can also hold multiple roles within a single project, which gives you flexibility when the same person performs different types of work on the same engagement.

Selling and Cost Rate

Each role in PSOhub is defined with two rates:

Selling rate 
The standard hourly rate charged to the client for work performed in this role. This is used to calculate the billable value of time entries and contributes to the revenue side of your project financials.

Cost rate
The internal hourly cost associated with this role. This is used to calculate the cost of the work delivered and supports margin and profitability analysis across your projects.

💡 Tip: If your organization runs projects in multiple currencies, you will need to set up a                separate role for each currency. This ensures that the correct rates are applied when              time is logged against projects billed in different currencies.

Standard Default Rates vs. Project Rates

Roles are configured at the organization level with standard default rates. These global rates apply automatically when a user is added to a project.

When a specific project requires different pricing — for example, a premium rate for a key account or a discounted rate for a long-term client — you can override the standard rates at the project level. This keeps your global defaults intact while giving you full flexibility at the project level.

📌 Note: Overriding rates at the project level does not affect the standard global rates.                Changes at the project level apply only to that specific project.

Multiple Roles Per User

PSOhub supports assigning multiple roles to a single user. This is useful when team members perform different types of work across your portfolio.

For example, a user might be assigned the role of Project Manager on one project and Senior Consultant on another. Each assignment carries the rates defined for that specific role, ensuring that time is always valued correctly, regardless of the work being performed.

Within a single project, a user can also hold multiple roles simultaneously — allowing accurate rate differentiation when one person contributes to the project in more than one capacity.

How Roles and Rates Are Used in Your Projects

Roles and rates touch every stage of the project lifecycle in PSOhub — from initial setup through to invoicing and profitability reporting. Here is how they connect across each step:

Setting up roles and default rates
An administrator configures roles with their standard selling and cost rates. These defaults apply across the organization unless overridden at the project level.

Inviting and setting up users
When adding a new user, the administrator assigns one or more roles. These roles determine how the user's time is valued when they are added to a project.

Building a project budget
When creating a project budget, the Project Manager uses roles and rates to calculate the estimated cost and billable value of the planned work.

Adding resources to a project
The Project Manager assigns each resource a role relevant to the work they will perform. If a custom rate is needed, this can be set at the project level for that resource without affecting the global default.

Logging time
When a resource logs time, PSOhub automatically calculates the billable amount and internal cost based on the selling and cost rates set for that resource on the project.

Generating invoices
For Time & Materials (T&M) and retainer contract lines, the billable value of the invoice is driven directly by the selling rates applied to logged time entries.

Reporting on profitability
The selling and cost rates for every resource that logged time are factored into the profit and margin calculations shown on the Estimated and Actual Profitability screens.
