How to Create a User in PSOhub

Invite a new user and set up their role(s), access level, working hours, and more

Objective

This article explains everything you need to create a new user in PSOhub. Configure access level, working hours, and role(s) of your new user to get them set up to bill time. You can also apply the utilization rate, resource planning, and capacity management, if desired. 

Prerequisites

Eligible access
        You must have Admin user access in PSOhub

Roles and rates are already set up
        Your new user's roles and rates must already be configured in the system

Steps

  1. In the main menu bar, click on Settings (gear icon).
  2. Select User Management.
  3. Click on Invite new users. 
  4. Enter the email address of the user you want to add. This person will receive an invitation to activate their PSOhub account. 
  5. Click on the Required to book hours switch if this user needs to log their hours each week. 
    When switched on, this user also appears in the Resources dashboard and Personal dashboard, and their utilization % is calculated automatically. 
  6. Enter the number of contractual hours per week in the Working hours field. 
  7. Enter the target utilization % of the user in the Utilization percentage field. 
  8. Click on the Available for resource planning switch if you want the user available for Resource Planning and Capacity Management.
  9. Click Next at the bottom right of the pop-up window. 
  10. Select the Access level of the user. 
  11. Configure your new user's access to financial information by selecting the following two boxes related to project financials and cost rate. If you don't want your user to have any financial access, leave these blank.
  12. Define the Project roles for the user. 
     
  13. Select the Default role for the user, which is used automatically when the user is added to a new project. 
  14. Select the Business unit the user belongs to. 
  15. In Tags, select or create keywords to define this user and to use in searches/filters.
    For example, skillsets, location, responsibilities, etc.
  16. Click Next.
  17. Select a project or projects to assign to the user with their default role.
  18. Click Invite if you are sending the invite to a single user or click Invite & add new to send the invite and immediately start an invite for another user.

📌 Note: Until the new user activates their account, you will find them in the Pending                        invites view. You won't be able to add them to a project as a team member yet.

Result

Your new user has been invited to PSOhub with their corresponding access level, contractual hours, role(s), and resource management configurations. 

Once your new user activates the account, PSOhub automatically assigns them the default settings related to the Days of holiday defined in the Configuration tab. Start date timesheet registration is automatically set when the user accepts the invite. 

💡Tip: Refine the availability of your new user (e.g. 3-day work week) via the Capacity                  tab.
