Resource Profiles: How to Create and Manage Them in PSOhub

Learn how to create resource profiles, assign skills, and monitor KPIs for your team in PSOhub

Objective

This article explains how to create and manage resource profiles in PSOhub, including how to update profile details, assign skills, review KPIs, and manage each resource's schedule and timesheet calendar.

Prerequisites

✅ You must have Admin user access in PSOhub.

✅ Users must already be set up in your organization, or you must have the details                            needed to invite new users.

Steps

Navigate to the Resources List

  1. In the top navigation bar, click Resources.
  2. Select Resources from the dropdown menu.

The Resources page displays a list of all users in your organization, showing their utilization status, name, skills, active user status, business unit, and email address.

💡 Tip: Use the column filters to narrow the list by skill, business unit, or active user status.          Click Export to download the list to Excel.

Invite a New Resource

       3.    Click Invite new users in the top right of the Resources page.

       4.    Follow the same steps as creating a new user in User Settings.

📌 Note: Resources can also be created directly in Settings > Users. Both routes use the                same setup flow.

Open a Resource Profile

       5.    Click on any resource name in the list to open their profile.

The profile opens on the Overview tab. The left panel displays the resource's personal details, utilization, and contact information. The center panel shows KPI tiles and active project data. The right panel shows recent activity.

Review Resource KPIs

The Overview tab displays the following KPI tiles:

Field Description
Target Utilization The resource's billable utilization target, as configured in their user settings. Displayed as a percentage.
Holiday Entitlement Hours Left The total number of paid vacation hours remaining for the current year.
Absence Hours The total number of hours booked as absent (for example, sick days or personal appointments).
Internal Hours Spent The total number of hours worked on internal (non-billable) projects.
Hours Spent on Projects The total number of hours logged on external (billable) projects.

The Time Management chart below the KPI tiles shows how hours are distributed across absences, internal projects, holidays, and billable projects, broken down by month.

The Active Projects panel lists the projects the resource is currently assigned to, including customer name, project number, project name, and hours logged.

Edit Resource Profile Details

       6.    In the left panel of the profile, click the pencil icon (edit) next to the resource's name.


The account window opens on the General tab. Here you can update:

Field Description
First Name / Last Name The resource's name as it appears in PSOhub.
Email The resource's work email address.
Capacity Planning The resource's working hours per day and per week, and their target utilization percentage.
Access Level The resource's PSOhub access level (for example, Admin, Project Manager, User).
Business Unit The business unit the resource belongs to in your organization.
Role The role(s) assigned to the resource.
Default Role (Auto-Added to Projects) The role that is automatically added when the resource is assigned to a project.
Access  Controls for financial access, cost rate access, task access, super admin status, and 2FA.
        7.     Make the required changes and click Save.

📌 Note: The Personal and Configuration tabs in the account window contain additional            settings. Review these tabs if you need to update personal details or system                                  configuration options for the resource.

Assign Skills to a Resource

       8.    Click the Skills tab at the top of the resource profile.

       9.    Click Add Skill.

The Add skill window opens.

      10.   Select a Skill Category from the dropdown.

       11.   Select a skill from the Add Skill dropdown (search by name if needed).

       12.   Click Save.

The skill is added to the resource's skills list, showing the skill name, category, and proficiency level.

💡 Tip: Skill categories and individual skills are configured in Settings > User Management           > Skills. Contact your Admin if the skill you need is not available in the list.

Review a Resource's Projects

  1. Click the Projects tab at the top of the resource profile.

This tab lists all projects the resource is assigned to, including status, customer, project number, target start date, and expected end date. Use the column filters to narrow results. Click Export to download the list.

Review a Resource's Tasks

  1. Click the Tasks tab at the top of the resource profile.

This tab shows all tasks assigned to the resource. Each row displays the task name, status, customer, and a clock icon for logging hours. As an Admin, you can mark tasks as complete or click into a task to edit it. Click Export to download the task list.

Manage a Resource's Schedule

  1. Click the Scheduler tab at the top of the resource profile.

The Scheduler opens in the current month by default. Toggle between Day, Week, and Month views using the buttons in the top right. Switch between Grid and Calendar layout using the icons next to the view toggles. Click + Create to add a new scheduled event for the resource.

Review a Resource's Timesheet Calendar

  1. Click the Timesheet Calendar tab at the top of the resource profile.

The Timesheet Calendar shows the resource's logged hours for the current week. The header displays total hours logged versus total capacity for the week, along with the current utilization percentage. Use the navigation arrows to move between weeks. Toggle between Work Week and Full Week views. Switch between Grid and Calendar layout using the icons in the top right.

Result

The resource profile is updated with the latest details, skills, and configuration. KPIs and project data on the Overview tab reflect the resource's current activity. Changes to access level and capacity planning take effect immediately.
