Introduction

Resource Management in PSOhub gives you a single place to manage your team's availability, assign work across projects, and stay on top of workload — starting with capacity. Before anyone can be planned or scheduled, PSOhub needs to know how many hours each team member is available to work. That capacity feeds directly into Capacity Management, where you assign hours to projects, review workload across your team, and make sure no one is overloaded or sitting idle.

From there, everything stays connected. Absences and holidays entered in the Scheduler flow automatically into capacity calculations. Planned hours roll up into the Utilization Report and Forecast by Project, giving you a live view of how your team's time is being used and where replanning may be needed. And when demand exists for a role but no resource has been assigned yet, the Backlog surfaces it — so nothing falls through the cracks.

The sections below follow that workflow from setup to monitoring. If you are configuring Resource Management for the first time, working through them in order will get you up and running. If you are already using the module and looking for something specific, jump directly to the relevant section.

Define Your Team's Capacity

Capacity is the foundation of everything in Resource Management. It tells PSOhub how many hours each team member can work, and drives all availability calculations, utilization targets, and planning indicators downstream.

Set working hours for each user in their profile, and use weekly overrides to handle part-time schedules, phased returns, or compressed workweeks. Until capacity is configured, availability data in Capacity Management will not be accurate.

Set Up Your Resource Profiles

The Resources module gives you an overview of everyone in your organization. From here you can manage individual profiles, add skills, and apply tags to make it easier to search and filter your team when assigning work.

Tags are particularly useful when working with the Backlog or Capacity Management — filtering by skill, language, or location helps you find the right person for a role quickly.

Plan Hours for a Project with Resource Planning

Project Resource Planning is where project managers assign hours to resources at the contract line level, directly from the Resource Planning tab of a project. This is what feeds Capacity Management — the hours planned here roll up into the organization-wide view, so Capacity Management always reflects what is actually planned across your portfolio.

You can plan from a budget baseline, letting the Budget Grid drive the initial distribution of hours, or plan directly without a baseline. When timelines shift or a resource becomes unavailable, hours can be rescheduled or reassigned without losing your planning history.

Schedule Events and Manage Absences

Admins, Controllers, and Project Managers use the Scheduler to create project events, holidays, and absences for any resource in the organization. The Absence Calendar in Settings gives Admins an additional way to register absences for one or more resources in bulk.

All events entered here are automatically reflected in Capacity Management, reducing available capacity for the relevant period.

📌 Note: The Scheduler manages absences, holidays, and project events — it does not                  assign project hours to resources. To plan hours against a project, use Project Resource         Planning from the Resource Planning tab of your project.

Schedule Your Own Absences with My Scheduler

Team members manage their own absences, holidays, and project events through My Scheduler. This gives everyone in the organization a personal calendar to register time away from work — without needing Admin or PM access.

Like events entered in the Scheduler, anything logged in My Scheduler feeds directly into Capacity Management and keeps availability data accurate.

Review Workload in Capacity Management

Capacity Management is where resourcing decisions get made. With capacity defined, project hours planned, and absences registered, it gives you an organization-wide view of who is available, who is overloaded, and where the gaps are — all in one screen.

Use it to validate that your planning is realistic before a project kicks off, to spot imbalances as delivery progresses, and to act on them quickly. If someone is overloaded, you can drill into their planning and redistribute hours. If a resource has spare capacity, you can assign them to additional contract lines directly from here.

Capacity Management is not a one-time setup step — it is the screen you return to throughout the project lifecycle whenever resourcing decisions need to be made.

View Your Own Planning

My Planning gives every team member a personal view of their assigned hours across all projects, broken down by month, week, or day. It shows what has been planned for them and how much capacity they have left.

Access level determines what each user can do here. Team members have read-only access. Project Managers, Admins, and Controllers can edit their own planning and add contract lines manually.

The Backlog surfaces hours that have been planned for a role across your project portfolio but not yet assigned to a specific person. It gives resource managers and traffic managers a single place to review open demand and match available people to it.
