How to Schedule or Reschedule an Event for a Resource

Learn how to schedule, reschedule, and delete events for resources using the PSOhub Scheduler

Objective

This article explains how to schedule a resource event in PSOhub, including project events, holidays, and absences. It also covers how to reschedule and delete existing events using the Scheduler.

Prerequisites

✅ You must have Admin, Controller, or Project Manager user access in PSOhub.

✅ Resources must already be added to your PSOhub environment.

✅ For project events: a project and contract line must already exist.

Schedule an event for a resource

Steps

  1. Navigate to Resourcesand select Scheduler.
  2. Select the time period you want to view using the navigation toolbar: Today, Day, Week, or Month.
  3. Locate the resource you want to schedule and drag to create a timespan on the desired day. A pop-up will appear showing the date, start time, and end time as you drag.
  4. Release the mouse when you reach the desired timespan. The New event dialog box opens.
  5. Complete the fields in the General tab. See View field definitions for a description of each field.
  6. If you selected Project as the event type, complete the fields in the Project tab:
    • Customer
    • Project
    • Contract line
    • Role
  7. Click Save to create the event.

💡 Tip: For project events, you can click Save & Send Invite instead. This sends an email to          the resource with an ICS file they can add to their Outlook or Google Calendar.

Result

The event appears in the Scheduler for the assigned resource.

If you used Save & Send Invite, the resource receives a calendar invite by email. They can open the ICS file to save it directly to their Outlook or Google Calendar.

⚠️ Important: Event types Absence, Holiday, and Public Holiday reduce the resource's              capacity in the Capacity Overview — both monthly and overall.

Reschedule an event for a resource

Steps

  1. Navigate to Resources and select Scheduler.
  2. Locate the event you want to modify.
  3. Double-click the event, or right-click and select Open.
  4. Update the required fields — date, time, details, or event type.
  5. Click Save or Save & Send Invite

📌 Note: When you send a rescheduled invite, the email clearly indicates the event has                  been rescheduled. The resource needs to delete the original invite from their calendar            and accept the new one. Rescheduling does not automatically update or remove the                original calendar entry.

Result

The event is updated in the Scheduler. If you used Save & Send Invite, the resource receives a new invite email showing the updated details.

Delete an event

Steps

  1. Navigate to Resources and select Scheduler.
  2. Locate the event you want to delete.
  3. Double-click the event, or right-click and select Delete.

💡 Tip: If you double-click the event to open it, you can click the Delete button from within          the event details.

      4.    A confirmation message appears. Click Proceed.

⚠️ Important: Event types Absence, Holiday, and Public Holiday will update the Capacity Overview once deleted, restoring the resource's capacity for that period.

Result

The event is removed from the Scheduler. Notify the affected resource(s) so they can remove it from their personal calendar.

Sync events with the Timesheet Calendar

When PSOhub is integrated with Outlook or Google Calendar, project events saved in the Scheduler appear automatically in the resource's Timesheet Calendar. Hours are logged against the project information entered when the event was created.

📌 Note: This applies to rescheduled events as well. Rescheduled project events will reflect          the updated details in the Timesheet Calendar.

Troubleshooting

The resource is not receiving the calendar invite.
Check that the resource's email address is correctly entered in their PSOhub user profile. Also confirm your PSOhub environment is integrated with Outlook or Google Calendar.

The event is not appearing in the Timesheet Calendar.
Calendar sync requires an active Outlook or Google Calendar integration. Confirm the integration is enabled under Settings > Integrations. Only project-type events sync to the Timesheet Calendar; holiday and absence events do not.

Deleting the event did not update the Capacity Overview.
Capacity Overview updates may take a moment to refresh. Navigate away from the Scheduler and return to confirm the change has been applied.

Frequently Asked Questions

Can I schedule an event for multiple resources at the same time?
Yes — for Holiday, Absence, and Public Holiday event types, you can select multiple resources when creating the event. This is not available for project events, which are created for one resource at a time.

Will rescheduling an event automatically update the resource's calendar?
No. PSOhub sends a new invite but does not modify or remove the original calendar entry. The resource must manually delete the original invite and accept the new one.

Does deleting an event cancel the calendar invite already sent to the resource?
No. PSOhub does not send a cancellation automatically. You will need to notify the resource directly so they can remove the event from their calendar.
