How to Plan Project Hours Manually Using Resource Planning
Learn how to add resources, set budget hours, and plan work across your project using the Resource Planning tab in PSOhub

Objective
This article explains how to plan project hours manually using the Resource Planning tab of a project in PSOhub. You will add resources and roles to the planning, set or edit budget hours, enter planned hours by month, week, or day, and review actuals against your plan.
Prerequisites
You have Admin, Controller, or Project Manager access level.
If you have Project Manager access, you must be the assigned Project Manager for the project.
The project exists with at least one contract line.
At least one team member has been assigned to the project
Add Contract Lines to the Planning
Before adding roles or resources to be planned, you first need to add the contract lines you want to plan hours again.
Steps
- Open your project and go to the Resource Planning tab.
- Click Add first contract line to add a single contract line, or Add all contract lines to add all eligible contract lines from the project at once.
- The selected contract lines now appear in the planning grid.
📌 Note: If you need to add a new contract line to Resource Planning after the initial setup, click + Add contract line in the top right corner of the Resource Planning tab.
Add Resources to the Planning
Steps
- Click the + icon next to the contract line you want to add resources to.
- In the Schedule window, click Manual Scheduling.
- In the Add Resource window, select the team members you want to add to the planning. If no team members appear, you must first add them to the project.
- Click Add to planning.
- The selected resources now appear under the contract line in the planning grid, ready for hours to be planned against them.
Set Budget Hours
Steps
Budget hours give you a target to track planned hours against as the project progresses. If you have not set up a Detailed Budget for the project, the Budget column will appear as blank.
📌 Note: Any hours you set here will automatically update the Budget tab of the project.
- Hover over the resource or role row you want to set a budget for.
- Click the pencil icon that appears to open the Set budget hours window.
- Enter the number of hours in the Number of hours field. The Total amount is calculated automatically based on the resource's rate.
- Click Save.
Switch Between Views
Before entering hours, select the view that best suits how you want to plan. Use the time range and planning level toggles to set up your preferred view.

| Time range | Year, Rolling | Controls the period displayed. Year shows the full calendar year, January to December. Rolling shows a 12-month window starting from the current month — useful for projects that span across calendar years. Use the arrow buttons to navigate between years or months. |
| Planning level | Month, Week, Day | Controls how hours are broken down. Month shows the year split by month — best for high-level planning. Week breaks a selected month into individual weeks with date ranges — best for distributing hours more precisely. Day breaks a selected week into working days, Monday to Friday — best for detailed day-by-day planning. |
📌 Note: Hours entered in the Monthly view are evenly distributed across the weeks and days of that month. After entering hours in the Monthly view, check the Weekly and Daily views to confirm the distribution is as expected.
Enter Planned Hours
Steps
- In the Planned view, click a cell in the month, week, or day column for the resource or role you want to plan.
- Enter the number of hours for that period and press Tab to move to the next field.
- If budget hours have been set, the Budget column updates as you plan. When planned hours exceed the budget, the value turns red.
💡 Tip: To remove a value, enter 0 in the field. Pressing backspace or Delete will not clear the current value.
Check Resource Availability
The Availability view shows each resource's remaining capacity per period. Cells where a resource has been overallocated are highlighted in orange. Use this view to identify overload before it affects delivery, and adjust planned hours accordingly.
Steps
- Click Availability in the top-left toolbar to switch from the planning grid to the availability view.
- Click Planned to return to the planning grid.
Review Actuals
Once your team starts logging time against the project, you can compare planned hours against actual hours booked.
Steps
- Click Actuals in the top-left toolbar.
- The grid now shows hours actually booked per resource per contract line. Where booked hours exceed planned hours, the value appears in red.
- Click Revenue (top right) to switch from hours to amounts.
Result
Planned hours are now set per contract line and resource. These feed into Capacity Management, where the organisation-wide workload view updates automatically. The Budget column reflects how planned hours compare to the budgeted hours for each resource.
