How to Create a Guest User in PSOhub

Invite Guest users and control exactly what external stakeholders can see and do in PSOhub

Objective

This article explains how to create a Guest user in PSOhub and configure their access. Create a Guest user to invite a client, partner, subcontractor or customer to view project progress, collaborate on tasks, review financial information or approve invoices without giving them full internal access.

Prerequisites

Eligible access
        You must have Admin user access in PSOhub.

Guest email address
        You must have the email address of the person you want to invite.

Level of access for guest
        You have decided the level of access for the Guest user, i.e. tasks only, financial                          visibility, or invoice approval.

Steps

  1. Navigate to Settings (gear icon) and select User Management
  2. Open the Guest Users tab to view existing Guest users with their current access settings.
  3. Click Invite guest.
  4. Enter the Guest user's email address for the invitation email and guest activation link.
  5. Switch on Guest can only see tasks to restrict access to tasks only. All other project and plan information will be hidden.
  6. Switch on Guest can see financials to allow the Guest user to view financial information such as project budgets and invoiced amounts.
  7. Switch on Guest can approve invoices to allow the Guest user to review and approve invoices that are submitted.
  8. Switch on Hide effort & used to hide effort estimates and used hours from the Guest user across projects and plans.
  9. Switch on Hide files tab to remove access to files for the Guest user. 
  10. Switch on Hide conversations rab to remove access to conversations. This prevents message-based collaboration. 
  11. Switch on Hide team tab to hide the Team view, so that your Guest user cannot see internal team members.
  12. To explicitly assign access to projects and/or plans, use Add to active projects and/or Add to active plans. By default, Guest users do not have access to any projects or plans.

📌Note: You can update a Guest user’s access at any time by returning to the Guest Users         tab and editing their settings.

      13.    Click Send invite when you are ready. PSOhub will send an invitation email to the Guest user                  with an activation link.

 ⚠️ Important: Until the Guest user has opened the activation link, they will not be able to             access PSOhub.

Result

Once the activation link has been opened by the Guest user:

  • The Guest user can log in to PSOhub.
  • They will only see the projects, plans, and features you selected.
  • Their access can be updated at any time from Settings > User Management > Guest Users. 

Frequently Asked Questions

Why can’t the Guest user log in after I sent the invitation?
The Guest user must first open their activation link in the invite email and complete their account activation. Until this is done, the Guest user will remain in a Pending state and will not be able to access PSOhub.

📌 Note: You can find pending guest users in the Pending invites section of the Guest                     Users list.

The Guest user didn’t receive the invitation email. What should I do?
Start by checking the following:

  • Confirm the email address was entered correctly when inviting the Guest user.
  • Ask the Guest user to check their spam or junk folder.

If the email still can’t be found, you can access the Guest user’s activation link from Pending invites. To do this, go to Settings → User Management → Guest Users, then click Pending invites.

Why can’t the Guest user see any projects or plans?
By default, Guest users do not have access to any projects or plans. You must explicitly assign access to projects and/or plans either:

  • During the invitation process 
  • By editing the Guest user’s access after the invitation has been sent

Can I deactivate or remove a Guest user?
Yes. You can deactivate a Guest user from the Guest Users tab. Once deactivated, the Guest user will no longer be able to log in to PSOhub. To do this:

  1. Open the Guest user record you want to deactivate
  2. Click Deactivate
