Guest Portal: What Is It & How Does It Work in PSOhub?

Objective

Understand what the Guest Portal is, how it controls what external users can see and do, and how permissions can be tailored per guest to support collaboration while protecting internal data.

Introduction

The Guest Portal is a dedicated workspace in PSOhub that gives external stakeholders — such as customers, partners, or clients — secure access to project information without requiring a full PSOhub license.

Guests log in through a branded portal that reflects your organization's identity. They can view and interact with the content you choose to share, while your internal data, team structure, and financial details remain protected.

Access is invitation-based and fully configurable. You control what each guest can see, what actions they can take, and whether their account is active.

The Guest Portal Toolbar

When a guest logs in, a toolbar appears at the top of the portal. This toolbar provides access to the guest's account settings and key notifications.

GUEST badge Confirms the user is logged in as a guest and that some features are restricted compared to full internal users
Notifications
(bell icon)
Displays alerts related to the guest's access, such as pending approvals, new comments, and updated budgets
My Account Allows the guest to update their name, password, and notification preferences
Sign Out Logs the guest out of the portal securely

What Guests Can Access

The content a guest can see depends on the permissions granted to their account. Permissions are configured individually and can be adjusted at any time.

My Tasks

By default, guests land on My Tasks when they log in. This view shows all tasks assigned to them across projects.

Guests can view tasks in List, Kanban, and Grid views. They can create tasks, update existing tasks, and mark tasks as complete. They cannot book time on a task.

📌 Note: Guests can always view tasks they originally created, even if those tasks are                    later reassigned to another team member.

Projects

Guests with financial permissions can access the Projects module. They can open only those projects to which they have been added as a team member. Inside each project, they can view planned versus used hours and access the Tasks tab.

Invoices

Guests with financial permissions can access the Invoices module. They can view all invoices associated with projects they are a member of, including line items and totals.

Depending on their permissions, guests may also be able to approve draft invoices before they are sent.

Time and Expenses

Guests with financial permissions can view time entries and expenses for projects they are a member of. They cannot log time or submit expenses.

Guest Permissions Explained

Permissions are set per guest when adding them to the portal. The table below explains what each permission controls.

Permission What the guest can see or do
Tasks  only Access to My Tasks (tasks assigned to the guest only)
Financial information (budget/invoiced) on projects Access to projects, planned vs used hours, booked hours, expenses, and invoices
Approve invoices Ability to approve draft invoices before they are sent
Hide effort and used Hides budgeted, planned, and used hours at the project, plan, and task levels
Hide team Hides the Team tab in the plan to protect internal resource and rate information
Hide conversations Hides the Conversations tab in the plan to protect internal communication
Hide files Hides the Files tab in the plan to prevent access to internal documents
Active Controls whether the guest account is currently enabled

📌 Note: Even when effort and used hours are hidden at the project and plan level, guests          can still see effort and used hours in their own My Tasks view.

The number of guests you can invite depends on your PSOhub subscription plan.
