Tasks by Week

Understand how all tasks are visible by plan

The Tasks by Week plan serves three purposes:

  1. It is designed to represent all tasks unplanned and due by the week across your organization or business unit.

  2. This is where you will schedule unplanned tasks and, if necessary assign these unplanned tasks to resources.

  3. This view gives you clarity as to which tasks are due for a given week and depending on any change of scope or delay, the due dates can be modified.

Important: Only the security access levels Project Manager, Admin and Controller have permissions to the Task Management overview.

Choose from the menu Plans and Task Management:

In the left-hand menu, under Plan, click Tasks by Week:

By default, the plan will display all Unplanned Tasks yet to be scheduled, and all tasks due for the week. Above the task list in the top-right corner is a navigation bar to scroll through the week list.

The Unplanned tasks lane will always be visible so that you have the option to schedule tasks in the coming weeks. Once scheduled, you will see them in the Week # column.

In the left-hand pane, filters can be applied to refine the results of the tasks by week:

Filter

Description

Date period

The tasks will be filtered using these date periods based on their due date:

The Custom period will allow you to select a due date from and to:

Business unit

Unplanned Lane: The results will be restricted to tasks assigned to the selected business unit or to a resource belonging to that business unit.

 

It will also restrict the weeks to only display tasks of projects belonging to that same.

Resource

Restricted to filter by resource name.

Status

The results will be filtered by checking or unchecking task status: To do; In progress and Completed.

Priority

The results will be filtered by checking or unchecking the task priority: n/a; Low; Medium; High.

Other: My plans

By default, this filter is unchecked.

When this field is checked, all tasks belonging to a project where you are the project manager will be displayed.

Schedule unplanned tasks

There are two scenarios to scheduling unplanned tasks:

  1. Schedule a due date only.

  2. Schedule a start date and due date.

1. Schedule a due date only

To schedule an unplanned task with only a due date, hover over the task and you'll see the due date calendar button. Click on this due date button:

The calendar will appear, displaying today's date by default. Navigate to the desired due date for the unplanned task:

Once the due date has been selected, the task will disappear from the Unplanned column of the plan. To locate the newly planned task, use the Date period filter and select period. The planned task will appear in the week period (you may need to scroll through the results to locate it, using the navigation bar in the top-right corner):

2. Schedule a start date and due date

To schedule an unplanned task with both a start date and due date, click on the task name:

In the task dialog box, you can select the Start date, enter the Duration (days between) that will automatically calculate the Due date, or simply select the Due date:

The task will disappear from the Unplanned column of the plan. To locate the newly planned task, use the Date period filter. The planned task will appear in the week period (you may need to scroll through the results to locate it, using the navigation bar in the top-right corner):

Finally, this overview allows you to create tasks directly from here. In the top-right hand corner, click the Add Task button and define the task.
