How to Create a Contract Template in PSOhub

Objective

This article explains how to create a contract template in PSOhub — including how to set up contract groups and define contract lines with billing types and pre-defined values — so you can apply a consistent contract structure when creating projects.

Prerequisites

You must have Admin user access in PSOhub.

What Is a Contract Template?

A contract template is a pre-defined contract structure made up of groups and contract lines. It reflects the financial agreement between your organization and a customer, capturing the products or services being delivered, their costs, and billing types.

Creating a template saves time when setting up projects with the same contract layout. Once built, a template can be applied to any number of projects.

⚠️ Important: A contract in PSOhub is the financial agreement signed off between your              customer and your organization. It reflects the offer, proposal, or statement of work              (SOW) line by line — including what has been sold, its cost, and payment terms.

Step 1: Create the Contract Template

  1. Click the Gear icon in the main menu to open Settings.
  2. Click Templates, and make sure you are in the Contract tab.
  3. Click Create.
  4. In the dialog box, complete the following fields:
Field Description
Name Enter a name for the contract template (for example, Professional Training Courses).
Business unit Select the business unit — the legal entity, department, or team — responsible for this contract.
Currency Select the currency this contract will be managed in.

       5.    Click Save. The new contract template is created and opens ready for you to add groups                         and contract lines.

Step 2: Create Contract Groups

💡 Tip: Contract groups are the building blocks of your template. They group related                    contract lines together and are used for filtering and reporting purposes.

  1. Click + Add group or Add first group.
  2. In the Edit Contract Group Template dialog box, enter the Group Name (for example, Courses or Services).
  3. Click Save.
  4. Repeat to add as many groups as needed to match your quote, proposal, or SOW.

📌 Note: Group numbers are assigned in increments of 10 by default and are used for                    filtering and reporting. If you work with complex contracts requiring a custom                            numbering structure, you can adjust these numbers in Settings > Project Settings >                   Contract Group Numbers.

📌 Note: Each contract group can have a maximum of 100 contract lines. If you need                    more, create additional groups.

Step 3: Add Contract Lines

💡 Tip: Contract lines define the individual products or services within each group,                          including their billing type and pre-defined values.

  1. In the relevant contract group, click the + button.
  2. Select the billing type from the pop-up selection: Fixed Fee, Time & Materials, Product, Retainer or Expense.
  3. Enter a Name for the contract line and Description (optional).
  4. Select the Group it belongs to under Identification in the right-hand pane.
  5. Line ID is automatically assigned, but you can select a different value if you have a custom numbering structure in place.
  6. Enter the Billing information.
  7. Optionally, complete the pre-defined value fields in the left-hand pane. These values carry over to the project when the template is selected but can be overwritten at the project level.
  8. Click Save.
  9. Repeat for each contract line until your template is complete.

Contract Line Fields by Billing Type (Left-Hand Pane)

Billing type Available fields
Fixed fee Amount, Sales Budget, Budget Costs. Entering a value in the Amount field automatically copies it to Sales Budget.
T&M Sales Budget, Budget Costs. 
Expense Sales Budget, Budget Costs. 
Retainer Sales Budget, Budget Costs. 
Product Price list, Product, Billing Frequency, Quantity, Price per unit, Cost per unit, Sales Budget, Budget Costs.

Additional options available on all contract lines:

Option Description
Active Uncheck to create the line as inactive. The line will not be available for time or expense entry until manually set to Active on the project.
Display estimate on quote (budget) When selected, the internal estimate/budget for this line is visible to the customer on a quote.

Result

Your contract template is saved and available in PSOhub. It can be selected when creating a new project, applying a consistent contract structure, groups, and pre-defined values across all projects that use the same layout.

💡 Tip: PSOhub includes a set of standard contract templates out of the box. Review                    these before creating a new one — you may be able to modify an existing template                  instead of starting from scratch.
