How to Create a Budget Template in PSOhub

Learn how to build a reusable budget structure for quotes and projects using a budget template in PSOhub

Objective

This article explains how to create a budget template in PSOhub — a pre-defined structure of roles, hours, and amounts linked to a contract template — so you can apply a consistent budget when creating quotes and projects.

Prerequisites

Eligible access
        You must have Admin user access in PSOhub.

Contract template ready
        At least one contract template must already exist in PSOhub.

Roles and rates ready
        Roles and rates must be configured in PSOhub.

What Is a Budget Template?

A budget template is a pre-defined budget structure linked to a contract template. It defines the roles, estimated hours, and amounts required to deliver the work covered by each contract line.

When applied to a quote or project, a budget template gives your team an instant baseline for resource planning. Hours and roles defined in the template can be pushed directly to resource planning to schedule work across the duration of the project.

You can have multiple budget templates linked to the same contract template — for example, one per currency if you work across multiple markets.

⚠️ Important: If you have projects in different currencies, you must create a separate                    budget template for each currency.

Step 1: How to Create the Budget Template

  1. Click the Gear icon in the main menu to open Settings.
  2. Click Templates and navigate to the Budget tab.
  3. Click Create.
  4. In the New Budget Template dialog box, complete the following fields:
Field Description
Name Type in the name of your new budget template.
Contract template Select the contract template this budget template is based on.
Currency Defaults to your organization's base currency. Select a different currency if needed.

        5.    Click Add. PSOhub creates the budget template and opens it.

Step 2: Add Contract Lines to the Template

  1. Click + Add Contract Line.
  2. Use the dropdown to select one or more contract lines to include in the budget.

📌 Note: Expense contract lines are not available for budgeting and will not appear in the          list.

        3.    Click Add.

Step 3: Add Budget Lines for Each Contract Line

For each contract line, add one or more budget lines to define the roles and estimated hours required to deliver the work.

  1. Click the +Add role button below the contract line you want to budget.
  2. In the Add/Edit resource dialog box, select a role from the Role field.
  3. Optionally, enter a Description.
  4. Click Save. The role, description, and selling rate appear as a budget line.
  5. For each budget line, enter either:
    • Hours — the total budgeted hours for the project. PSOhub calculates the Total amount automatically (Hours × Selling rate).
    • Total amount — the budgeted amount. PSOhub calculates the hours automatically based on the role's selling rate.

📌 Note: Budget hours can be left blank in the template. Hours can be defined at the                      quote or project level when the template is applied.

💡 Tip: The standard selling rate is applied at the template level. You can modify the rate            at the project level when the template is applied.

        6.    Repeat Steps 1–5 for each contract line in the template.

Result

Your budget template is saved and available in PSOhub. It can be selected when creating a quote or project that uses the linked contract template. When applied, the roles and hours are available as a baseline for resource planning and can be pushed to the resource planning schedule.
